The opportunity

This role is accountable and provides support for Zagreb PV Site, including the interface with internal and external stakeholders. The role also serves as a personal assistant to senior leaders in PV.

How you’ll spend your day

• Supports administrative activities for Zagreb PV Site to ensure smooth functioning, including coordination with various departments (such as but not limited to HR, Facility, IT, Finance, Procurement)

• Supports general employee related activities and documentation (maintenance of employee lists, in/out-of-office trackers, organization charts, provides support for newcomers, SAP time management)

• Coordinates external visits to the site including, but not limited to: assist with VISAs, food/catering, transport, book dinner and other events, secure meeting rooms, make sure they are equipped, serve as contact point for all visitors

• Organizes all the logistics for trainings, site gatherings, team building activities, workshops, local company events, meetings etc., assuring appropriate space, equipment, agenda, materials and all other services, as required

• Handles the inventory, procurement activities and invoices

• Owner of site specific PV sharepoint or equivalent, giving it appropriate structure, managing content and access privileges

• Back-up for non-site specific activities to PV assistants in other major PV sites

• Managing calendars, scheduling meetings, booking the rooms, writing and documenting the minutes, tracking action items, in support to senior leaders at the site

• Drafting slides for various presentations

• Printing, scanning and archiving

• Assists with travel arrangements and expenses

• Assists with budget oversight

• Can assist with certain PV function specific tasks, if and when needed

Your experience and qualifications

• University graduate or undergraduate (Bachelor degree)

• Fluent in both written and spoken English

• Computer skills – advanced level (MS Office: Word, Excel, PowerPoint, Outlook and Adobe Acrobat)

• 3-4 years of Healthcare or pharmaceutical/Pharmacovigilance industry experience (preferred, but not mandatory)

• Excellent planning, organizational and time management skills

• Excellent prioritization skills and sense of urgency

• Proactive, service mindset, positive attitude

• Strong self-accountability, drive and execution skills

• Flexibility, ability to work collaboratively and effectively in a global team environment

• Excellent verbal and written communication – clear and concise with the ability to serve to senior/executive level

• Ability to collaborate with all levels/areas across the company

• Collaborative and flexible team player, energetic and passionate about making a difference

• Able to anticipate risks, take steps, quick to resolve issues

• Understand sensitivity, confidentiality, business ethics and compliance
