Program Support Specialist Salary $35,568.00 - $42,000.00 Annually Location Youngstown, OH Job Type Professional Administrative Job Number 202400070 Division Academic Affairs Department College Access and Transition Opening Date 04/03/2024 Bargaining Unit Status Association of Professional Administrative Staff (APAS) Salary Grade A2 Full-time Equivalency 1.0 Summary of Position Supports critical functions in the Office of College Access and Transition, specifically College Credit Plus, including, but not limited to, supporting CCP programming; evaluating transcripts, credentials, and other application materials; determines eligibility for admission; generates reports, and prioritizes the timely admission of students applying to College Credit Plus. Provides excellent customer service. Position Information Essential Functions and Responsibilities: Assists director with the preparation of marketing materials, Assists with planning and preparation for Counselor and Penguin Preview Days. Assists the Director with the preparation of application materials. Communicates with school personnel, parents, and students regarding the CCP application process; utilizes YSU student information, and departmental, systems to track the receipt of student application materials, test scores, and other documents; responds to inquiries; resolves problems and issues as necessary. Reviews transcripts and materials; follows established criteria to determine student eligibility for admission. Coordinates the onboarding of CCP students by preparing and mailing new and continuing student acceptance packets, parent welcome letters, and student enrollment letters. Tracks attendance at new student orientation, continuing student update sessions, and campus registration days. Proctors' eligibility testing and course placement testing of CCP students. Prepares and delivers various reports to the Registrar's Office. Assists the Registrar's Office in processing change of registrations for courses taken at the high school. Prepares and sends out Parent Consents to Registrar's Office each term for electronic filing in Banner. Prepares and delivers reports to schools regarding student application status, course approvals, rosters, registrations, withdrawals, hours completed/scheduled, state or self-pay for tuition, and final grades. Oversees and follows up with internal and external stakeholders each academic year on various program items, including but not limited to MOU's, course planning forms, course schedules, CRN requests/verifications, instructor applications, instructor meetings, self-pay students, non-public school funding letters, bookstore student list each term. Maintains program files. Prepares departmental reports; implements policies and procedures. Serves as initial point of contact for the community and University departments. Routes incoming mail; schedules meetings; answers telephone inquiries; greets visitors. Supervises student office staff; interviews and hires, trains and schedules, assigns work duties, and recommends disciplinary actions. Verifies and approves electronic time sheets for student employees. Conducts staff meetings with students, reviews work requests and assigns projects to student staff. Develops and conducts specialized student training for tasks as needed. Other Functions and Responsibilities: Performs other related duties as assigned. Equipment Operated: Computer and all other standard office equipment. Work Schedule: Typically, Monday through Friday; occasional evenings or weekends. This position is not remote. Supervision Exercised: May exercise supervision over student employees.
