The Financial Services Department takes care of the majority of data that captures the colleges financial position. This position is responsible for planning, organizing, and managing the grant function in Financial Services. Responsible for providing strategic and day-to-day leadership in the grant accounting area to include grants management, procurement, account reconciliations, and fiscal monitoring.

Examples of Duties

Grants

  • Supervise Staff Accounting Specialist Grants
  • Supervise and organize the workflow of the grant functions in the Business Office
  • Actively participate in grant proposal/renewal review process and recommend approval/denial of grant proposals in coordination with Grants Specialist and Director of Development
  • Assists with the submission of all grant proposals, including conducting a review of the draft of all proposals for accuracy, completeness and clarity and confirming that all of the requirements of the funding agency have been met from an accounting perspective
  • Monitors grants received to ensure compliance with the requirements of the funding agency, state and federal law, and college policies and procedures
  • Leads grant fiscal communications with the grant managers and grantors
  • Maintain currency on the financial rules and regulations on all currently awarded grants to include the accuracy of financial documents as well as their compliance with relevant laws and regulations`
  • Supervise the review and approval of grant requisitions for eligibility and funding
  • Works with faculty and administrators throughout the college to pursue funding for the development of new programs and/or expansions or enhancement of existing programs, as well as new initiatives that are keeping with the mission and goals of the college in conjunction with the Director of Development
  • Ensure that all appropriate grant reimbursements are accurately applied for and received in a timely manner through supervision of the grants office functions
  • Supervises the maintenance of database of all active and pending grants to include all financial and reporting deadlines and summary worksheet of all grants for the college
  • Ensures the accuracy of the grant budgets, oversee spending and meets financial reporting requirements
  • Prepare the annual college SEFA and work with college auditors
  • Develops policies and procedures to facilitate the acquisition of grant funds, monitors timelines, maintains appropriate records and prepares reports on grant activities
  • Lead for any desk/on-site fiscal monitoring of grants done by local, state or federal authorities
  • Review and approve grant journal entries
  • Monitor and assist in responses to grants emails
  • Performs other duties as assigned
Qualifications

Required: Bachelors degree in accounting, business, business administration or closely related field. Five (5) years progressively responsible accounting and supervisory experience and federal and state grant knowledge. Demonstrated success in personnel management and office coordination. Thorough knowledge and understanding of generally accepted accounting procedures and internal accounting controls. Ability to analyze, organize and prioritize work under pressure while meeting deadlines. Excellent organizations skills: the ability to multi-task, learn quickly, and work independently and productively in a fast-paced and detailed-oriented environment. Ability to communicate effectively to administrators, staff, auditors, board members, outside organizations and other stakeholders at the college.

Knowledge and understanding of grant reporting compliance processes ncluding Federal and State rules and regulations. Ability to work in a team environment with project managers managing multiple deadlines and grant requirements. Demonstrated ability of problem solving, analytical, critical thinking, and decision-making. Must use good judgement and discretion as well as maintain confidentiality.
