What you’ll do:

General Office Administration

  • Answer phone calls and greet visitors.

  • Manage communication with the landlord and cleaning company for building maintenance.

  • Monitor and order office and kitchen supplies.

  • Maintain office equipment and oversee company clothing orders.

  • Handle Verizon phone orders and plan changes.

  • Coordinate food orders for company training sessions and meetings.

  • Sort and distribute daily mail.

  • Arrange travel for staff as needed.

Operations Support

  • Set up new projects and order certificates of insurance.

  • Distribute billing worksheets to project managers.

  • Handle monthly construction billing and update anticipated project completion dates.

  • Complete and send substantial completion documents.

  • Distribute monthly customer surveys.

  • Process post-construction invoices monthly.

Accounting Department Support

  • Process cash receipts and bank deposits.

  • Manage inventory order receipts.

  • Assist with accounts receivable collections.

Who you are:

  • You have a strong work ethic, take pride in your workmanship, collaborate well with others, and have a continuous desire to learn

  • 1-3 years of work experience in a similar role or environment; internship experience acceptable

  • Intermediate to advanced skills in Microsoft Excel and Word

  • Strong customer service, verbal and written communication skills

  • Ability to work in fast-paced environment, to be analytical, and multi-task

  • Highly organized and detail oriented

    Salary range: $26 -$30 per hour

    Reports to Contracts Manager
