Banquet Supervisor

Reports To: Food & Beverage Manager

FLSA Status: Full-Time/Hourly/Non-Exempt

Summary

Under the direction of the Food & Beverage Manager, the Banquet Supervisor is responsible to oversee the day-to-day operations of food service events during assigned shifts. Leads and directs Banquet Servers (both part-time regular and temporary staff), greets guests in a courteous and service-oriented manner and follows established guest relations policies. Assists the Food & Beverage Manager in planning, scheduling, and monitoring services in support of scheduled events.

Essential Duties and Responsibilities

Pre-Event Duties

  • In conjunction with the Food & Beverage Manager, assist in the development of pre-event plans regarding service arrangements, required staffing levels, section assignments, side work and equipment requirements.

  • Consult with the Executive Chef to review Banquet Event Orders for menu, delivery timing and any special requests.

  • Assist in the delivery of pre-function meetings for the briefing of event details with staff. Inspect uniforms, review menus and event itineraries.

  • Oversee event set-ups according to client specifications, assisting Servers as needed.

  • Inspect function space to ensure cleanliness, organization and ambiance.

Event Service Duties

  • Manage guest and employee concerns and complaints. Resolve problems within the scope of authority.

  • Observe product served to ensure it is correctly garnished and arranged.

  • Take orders, expedite products, make deliveries and serve guests, as needed, to ensure that quality service is maintained.

Post-Event Duties

  • Maintain Consumption Sheets for each event in support of the Food & Beverage Manager.

  • Ensure that all closing duties are completed before staff sign out. Complete all paperwork in accordance with departmental standards.

  • Provide feedback on staff performance to Food & Beverage Manager. Report disciplinary issues and participate in the counseling of employees.

Other Duties

  • Notify Food & Beverage Manager of all pertinent information and irregularities occurring during assigned shifts.

  • Maintain excellent working relationships with other facility staff, such as the Executive Chef/kitchen staff, operations crews, catering sales team and housekeeping.

  • Perform the responsibilities of both a Server and Bartender, as defined by staffing requirements.

  • Document and notify the Food & Beverage Manager when product supplies are low, such as coffee, creamers, lemons, etc.

  • Assist in Food & Beverage inventory counts and controls. Develop inventory staffing schedules and assign appropriate duties.

  • Organize, clean and maintain Food & Beverage equipment before, during and after each event. Ensure equipment storerooms are clean, organized and secure.

  • Initiate and follow all designated opening and closing procedures to ensure Food & Beverage areas are secure and energy efficient.

  • Assist in the development of standard operating procedures and the training of staff.

  • Participate in facility event planning meetings to ensure appropriate representation of the Food & Beverage Department.

  • Foster and promote a cooperative working climate, maximizing productivity and employee morale.

    Supervisory Responsibilities

    This position leads and directs Servers (both regular part-time and temporary staff) on assigned shifts. Assists the Food & Beverage Manager in interviewing, hiring, and training employees; planning and assigning work; appraising performance; disciplining employees in conjunction with Human Resources; addressing issues and resolving problems.

In the absence of the Food & Beverage Manager, this position assumes the responsibilities of this role.

Education and/or Experience

  • High School Diploma or GED

  • Minimum of 1 year work experience as a Supervisor in a similar environment.

  • Thorough knowledge of catering services and terminology.

    Skills and Abilities

  • Ability to prioritize multiple projects and meet strict deadlines.

  • Ability to work under minimal supervision.

  • Excellent guest service and interpersonal skills.

  • Ability to work in a fast-paced environment, maintain physical stamina and proper mental attitude.

  • Ability to deal effectively with guests, management, employees and outside vendors while working under pressure.

    Computer Skills

  • Proficiency with Microsoft Office Products, including Word, Outlook and Excel.

    Other Qualifications

  • Available to work flexible hours, including nights, weekends, and holidays, in addition to normal business hours as needed.

  • Ability to acquire Serv Safe Allergan, Serv Safe Alcohol, and Food Handler’s Certifications within 6 months of employment.

While performing the duties of this job, the employee is regularly required to move around the facility; to walk, stoop, reach and handle products; to stand for long hours during events; to clearly hear voices, to perform work through repetitive eye/hand coordination; to lift up to 25 pounds above shoulder level up to 5 minutes at a time; to carry up to 25 pounds up to 5 minutes at a time on a daily basis; to see and distinguish objects or symbols as far away as 20 feet or more and 20 inches or less. This position may require work inside or outside of the building, as needed by events.
