Robert Half Front Desk Coordinator in White Bear Lake, Minnesota

Description We are looking for a detail-oriented and organized Front Desk Coordinator to join our team on a contract basis in White Bear Lake, Minnesota. In this forward-facing role, you will be the first point of contact for residents, visitors, and staff, ensuring a welcoming and safe environment. This position involves managing a variety of administrative and customer service tasks while interacting with individuals from diverse backgrounds, including those who may be navigating challenging life circumstances.

Responsibilities:

• Serve as the primary point of contact at the front desk, greeting residents, visitors, and contractors with care and attentiveness.

• Oversee the management of front desk operations, including signing guests in and out and monitoring security systems.

• Assist with administrative tasks such as preparing welcome packets, managing files, and coordinating office supplies.

• Facilitate communication between residents, property management teams, and vendors to ensure smooth operations.

• Support the setup and organization of conference rooms and meetings, including preparing materials, refreshments, and equipment.

• Handle sensitive situations with empathy and de-escalation techniques to ensure a safe and supportive environment.

• Track and distribute necessary items for residents, ensuring their needs are met promptly.

• Maintain a high level of organization and time management to handle multiple tasks efficiently.

• Provide assistance with creating presentations and satisfaction surveys as needed.

• Ensure the front desk area is clean, welcoming, and fully functional. Requirements • Proven experience in a front desk, administrative, or customer service role.

• Strong organizational skills with the ability to manage multiple priorities simultaneously.

• Excellent interpersonal and communication skills to interact effectively with diverse individuals.

• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

• Familiarity with SharePoint and other administrative tools is a plus.

• Ability to remain calm and detail oriented in high-pressure or challenging situations.

• Experience with de-escalation techniques and a focus on maintaining a safe environment.
