The Administrative Assistant is a business professional responsible for a diverse set of administrative tasks and performing their duties with decisiveness and accuracy supporting the operations team. Core Duties & Responsibilities: Safety is E2's number one Core Value. Follow safe work practices and company and client worksite policies. Promotes company Core Values to foster and safeguard family-centric culture. Schedule conference space for meetings or guests, IT and AV equipment, travel arrangements, meals, and appoints. Help receive catering deliveries, set up/break down. Coordinator with building contractors and facilities for necessary maintenance and repairs. Act as a liaison with facility management vendors, including cleaning and catering. Assist with coordination of company events/parties. Assist at the front desk with greeting guests and answering the phone. Assists the operations team with daily tasks. Manages and orders office supplies needed. Maintains files and records with effective filing systems. Responsible for coordination/assisting with travel arrangements. Provides exceptional customer service to both internal teams and external contacts. Directly addresses issues and situations with immediate escalation when necessary. Records purchases, maintains database, performs physical count of inventory, and reconciles actual inventory received and stock count to computer-generated reports. Accepts deliveries and communicates the receipt of delivery to the appropriate party. Problem solves issues that may arise with shipments. Oversees collections and maintenance of required compliance documents. Assist with special projects as requested. As requested, compose various documents such as agreements, contracts, correspondence, interoffice memos, reports, charts, and tables. Education: High School diploma or GED required. Experience: Minimum 2 years' general office management and support experience. Experience working on a construction job site preferred. Knowledge, Skills, & Abilities: Strong leadership, communication, influencing and collaborative skills. Ability to receive, stock, and /or deliver goods. Demonstrated professional demeanor and communications with customers, field team, vendors, and management. Excellent interpersonal skills, written and verbal communication skills. Ability to work in a dynamic, fast paced environment with deadlines. Strong incident investigation, root cause analysis and continuous improvement skills Easily adapt to changing situations, workflow and deadlines. Able to respond to situations in a positive manner and provide good customer service skills. Strong administrative and organizational skills. Must have a good command of the English language to provide effective phone, desk-side, and email support. Proficient in Microsoft Office products including Word, Excel, PowerPoint and Outlook. Able to work independently and as a team player
