Shawnee Lodge Sales and Catering Coordinator in West Portsmouth, Ohio

Position Overview: 

Our Sales & Catering Coordinator will support the Sales & Catering Department and Manager in optimizing revenue and bookings. 

Primary Duties: 

  • Answer phone calls coming to sales office and assist front desk with phone calls during peak times 

  • Receive, correspond and create emails to potential and existing group clients, as well as other internal departments 

  • Respond to client requests for information about Shawnee Lodge, conference space, lodging, activities, and all other guest and group related details 

  • Responsible for group reservations in the property management system 

  • Responsible for maintaining accurate records in customer relationship management platform 

  • Conduct site tours for both scheduled and walk-in potential and existing clients 

  • Create and distribute internal and external documents related to group business 

  • Attend sales, revenue and marketing meetings as directed by Sales Manager 

  • Maintain an outstanding working relationship with other departments, employees, and guests. 

  • Keep work area clean and organized. 

  • Oversee or assist with other assignments and special projects as needed to continually improve operations and overall revenues 

Essential Qualifications: 

  • Excellent customer service and experience with guest service recovery/problem solving 

  • High level of attention to detail 

  • Must be a strong typist with understanding of the English language, grammar and spelling 

  • Proven knowledge, skills and/or abilities that will contribute to the success of the Shawnee Lodge team 

  • Ability to quickly learn multiple systems for both function and lodging bookings

  • Ability to sit, stand and walk for long periods of time.

  • Ability to work unsupervised and self-manage to accomplish tasks and goals 

  • Ability to follow instructions 

  • Ability to meet deadlines 

  • Ability to use a computer, screen and mouse for long periods of time. 

  • Ability to work in a very fast-paced environment and adapt quickly to complete duties as priorities change 

  • Knowledge of office products (Outlook, Word, Excel) 

Preferred Qualifications: 

  • Hospitality/hotel experience 

  • Experience in a fast-paced service environment 

  • College or trade school education 

  • Ability for occasional overnight travel for company meetings or trainings
