Position Summary:

The Data Specialist and District Registrar serves as the primary contact for welcoming new students, families, and employees, ensuring a smooth registration and onboarding experience. This role involves processing registration forms, managing student records, and coordinating appointments for testing and registration-related activities. They oversee data accuracy in Infinite Campus, customizing the platform for school-specific needs, troubleshooting technical issues, and providing support and training for effective use. Additionally, they manage the school's social media presence, creating content that reflects the school’s brand, engaging with followers, and tracking campaign metrics. The Data Specialist and District Registrar collaborates with teachers, counselors, and administrators to maintain accurate records, support seamless transitions, and uphold confidentiality standards while adhering to school policies and district regulations.

Responsibilities

Registrar

  • Serve as the first point of contact “welcoming committee” for new students, families, and employees

  • Review and process new student registration forms

  • Update and manage student files, including academic transcripts and attendance records

  • Coordinate appointments for registration, testing, and other necessary procedures.

  • Handle student withdrawal processes and documentation

  • Create reports on student enrollment, attendance, and other relevant data

  • Collaborate with teachers, counselors, and administrators to ensure accurate student records and smooth transitions

  • Comply with all applicable laws and regulations related to student registration and records

  • Stay updated on school policies and procedures related to registration

Infinite Campus Manager

  • Manage user accounts: Create, modify, and delete user accounts for students, staff, and parents

  • Ensure the accuracy and consistency of data within Infinite Campus

  • Customize Infinite Campus to meet the specific needs of the school or district

  • Resolve problems related to Infinite Campus functionality and performance

  • Provide training and support on how to use Infinite Campus effectively

  • Keep Infinite Campus up-to-date with the latest versions and patches

  • Connect Infinite Campus with other software applications, such as learning management systems or student information systems

  • Create custom reports to analyze student data, attendance, and other metrics

  • Protect sensitive student information by implementing appropriate security measures

  • Work with the district's IT department to ensure smooth operation of Infinite Campus

Communications

  • Create and manage social media content (e.g., Facebook, Twitter, Instagram)

  • Respond to comments, messages, and questions on social media

  • Share information about upcoming events, achievements, and news

  • Ensure that the school's online presence aligns with its overall brand identity

  • Stay updated on the latest social media trends and best practices

  • Track metrics like engagement, reach, and conversions to measure the effectiveness of social media campaigns

  • Work with teachers, administrators, and other staff to create content and coordinate social media efforts

  • Adhere to school policies, district regulations, and legal requirements related to social media

IT Support

  • Onboard new staff members

  • Ticket system monitoring

    Qualifications

Educational Qualifications

Associate's Degree in a relevant field, such as Business Administration, Education, Information Technology, Marketing, or Communication – Preferred to support familiarity with data management and administrative functions.

Experience

Previous experience with Infinite Campus preferred.

Knowledge and use of social media platforms required

Technical Skills

Strong technical proficiency in hardware, software, networking, and cybersecurity.

Familiarity with education technology trends, best practices, and compliance requirements.

Soft Skills

Excellent organizational, communication, and problem-solving skills.

Ability to work collaboratively in a fast-paced, dynamic environment
