Concurrent Technologies Corporation (CTC) is a nonprofit organization. We are seeking an experiencedSenior Executive Administratorwho willensure the smooth operation and administrative efficiency of the Chief Talent Management Office (CTMO). This position is essential in supporting strategic objectives, fostering effective communication, and maintaining a high level of organizational coordination. The role requires a proactive and detail-oriented approach to anticipate the needs of the CTMO and the broader team. By facilitating key administrative functions, the Executive Administrator contributes to the overall success and effectiveness of the organization's talent management strategies.This position is critical to ensuring the smooth operation of the CTMO and supporting the overall mission of the Office of the Under Secretary of Defense for Personnel and Readiness.
Key Responsibilities
Executive Scheduling and Calendar Management: Manage the day-to-day calendar for the Chief Talent Management Officer (CTMO), including scheduling meetings, appointments, and coordinating executive travel requests.
Visitor and Building Access Management: Process and track visit requests from external visitors, control building access, and coordinate property transfers.
Onboarding and Offboarding: Assist with onboarding and offboarding of CTMO employees, ensuring smooth transitions.
Material and Supply Purchasing: Assist in coordinating material and supply purchasing for the CTMO office.
Protocol and Liaison Duties: Serve as the main point of contact with protocol officials, liaising with government agencies, NGOs, universities, think-tanks, and the business community.
Meeting Support: Monitor and collect Read Aheads (RAH) for briefings and executive meetings, assist with binder preparation, and manage meeting logistics including conference lines and video teleconferencing.
Travel Coordination: Assist in preparing travel orders, processing travel vouchers, and ensuring compliance with government travel guidelines and policies.
Correspondence and Task Management: Manage correspondence and tasker responses, liaise with CTMO staff and other offices, and ensure proper coordination and staffing of documents.
Standard Operations Procedure Support: Support and advise on improving business practices, streamline document review, and assist in the review of Federal regulations and DoD policies.
Program Analysis and Advisory Support: Provide operational and program analysis services, track open action items, develop meeting agendas, and edit meeting minutes. Financial Monitoring and Administration: Perform financial monitoring and administration, including tracking and reporting financial data, maintaining spend plan documentation, and supporting budget submissions.
