AvantGarde, LLC Administrative Assistant in Washington, District Of Columbia
AvantGarde, LLC (AG) seeks to engage an Administrative Assistant to provide basic clerical and administrative support to the AG client on site within the United States Capitol Police and Office of Information Systems.
This position requires the work to be performed on-site in Washington, DC at the United States Capitol Police Headquarters.
The WORK
Perform basic front desk administrative duties: receiving and distributing mail, filing materials and making photocopies.
Serve as timekeeper for 30 Federal employee staff using WorkBrain to ensure all timecards are received, verified and have all required information. Proactively manage timecards daily to ensure timely submission. Maintain, track and file time and attendance records for future retrieval.
Scan and upload materials into pre-created folders in SharePoint.
Collect and maintain up-to-date information on office documents such as OIS organizational charts, office phone lists, emergency contact lists, etc.
Facilitate leadership inquiries such as requests to reserve conference rooms.
Compile and prepare recurring reports when requested by retrieving data from systems and ensuring accurate and timely submissions.
Monitor office supply inventory. Prepare office supply orders and fulfill printing requests (such as for business cards or glossy materials).
Process physical door access/entry requests with the Security Service Bureau.
The REQUIREMENTS
High School Diploma is required; GED may be substituted.
At least 1-2 years of experience providing general basic administrative support.
Basic Proficiency using the MS Office suite of applications (Excel, Outlook, Word and PowerPoint).
Remains focused during telework, is consistently available and remains engaged during working hours.
Attention to detail is required.
Must possess and demonstrate good customer service skills to respond to requests timely and proactively and ensure deadlines are met.
Manages time to ensure that recurring deadlines are met consistently.
Proactive to seek additional work or projects during slack periods.
Flexibility in the approach to the delivery of work.
Must be detail oriented, with good organization and time management skills.
Must be skilled in the use of common office equipment, including but not limited to copy, fax, and scanning machines.
