The Office Assistant coordinates clerical support services

Essential Functions

  • Maintains/creates e-mail distribution lists, databases, simple spreadsheets, office supplies, and files
  • Distributes departmental mail
  • Answers phones
  • Assist in preparation of accurate bills of lading and other shipping documents, ensuring compliance with regulations and maintaining organized records.
  • Assisting the Safety and Logistics Specialists in incident investigations and various safety related duties
  • Assist in Data Entry and Documentation with the heavy workload from Facility, Safety and Logistic departments
  • Perform additional assignments per supervisor's direction.

Competencies

  • Familiarity with administrative and office procedures, including file and record management.
  • Intermediate proficiency of Microsoft Word, Excel, Outlook, and PowerPoint
  • Excellent written and oral communication skills
  • Ability to successfully manage concurrent projects and multiple priorities
  • Strong organizational skills
  • Flexibility to adapt to changing priorities and work in a fast-paced environment
  • Good attendance and work history
