Federal Aviation Administration Management and Program Assistant in United States

Summary The Management and Program Assistant is located within Aviation Safety (AVS), Office of Quality, Integration and Executive Services (AQS), People Services Division (AQS-110), Enterprise Operations & Workforce Acquisitions (AQS-110), in Unit C of the Workforce Acquisition Section (AQS-112). Responsibilities Assists Section Manager and Unit Management Team in day-to-day operations. Work activities typically support projects/programs and contribute to the objectives of the organizational unit. Performs a combination of routine, multiple, and varying assignments in support of the manager and management team under the limited direction of a manager, project/program manager, team leader, or more experienced employee. Applies experience and advanced knowledge of administrative assignments with a broad understanding of how administrative assignments contribute to organizational activities. The employee will compile, track data; coordinate interviews; schedule meetings; prepare correspondence; ensure availability of Zoom or Teams capability to support interviews; prepare interview packages; and coordinate the implementation of new office policies and systems. Utilizes a variety of software programs to accomplish assignments. Coordinates with a manager, project/program manager, team leader, or more experienced professional to plan time and used assigned resources to accomplish tasks. Demonstrates considerable independence in planning time, and coordinates only as needed with a manager, project/program manager, team leader, or more experienced employee to prioritize assignments and use assigned resources. Often helps others plan and identify resources to accomplish projects/programs/tasks. Contacts are typically internal and external. Internal contacts frequently involve the Section Manager and Unit Management Team, as well as internal Service Partners and administrative personnel. External contacts are typically with stakeholders and other parties on routine matters that relate to the project/program that is being supported. Established policies and procedures provide guidance for most assignments, but allows some discretion for the employee to select the most appropriate approach. May provide recommendations to improve work processes. Resolves most problems and work issues without the assistance of a manager or more experienced employee. Identifies and informs Section Manager, Unit Management Team, and/or other employees of problems/issues that require their attention and helps develop and recommend solutions. Work is reviewed periodically during assignments and at completion to ensure timeliness and all aspects of quality. Work activities typically support the work of other employees and contribute to activities of the organizational level. Works under instructions provided by a manager, project/program manager, team leader, or more experienced professional. Performs other duties as assigned. To qualify for this position, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-E and/or FG/GS-7/8 in the Federal Service. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Experience includes: Experience using an array of specialized software applications to execute project tasks and achieve objectives. Experiencing managing comprehensive data compilation and tracking processes, orchestrate interview coordination, schedule meetings, and draft correspondence with precision and efficiency. Experience supporting others in a staffing environment. Qualifications must be met by the closing date of this vacancy announcement.
