Rocket Software Office Manager in Vilnius, Lithuania

Job Description Summary:

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible streamlining administrative procedures and task delegation.

Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

Essential Duties and Responsibilities :

  • Create and maintain a vibrant, welcoming, and productive office environment.

  • Implement initiatives that enhance employee engagement and morale, such as office decor, wellness programs, and recognition events. Regularly assess and improve office facilities and amenities to meet the needs of employees and guests.

  • Serve as the primary point of contact for internal and external communications. Manage office-wide communications, ensuring that all employees are informed and engaged.

  • Lead the organization and execution of corporate social responsibility (CSR) activities, including volunteer opportunities and community engagement programs.

  • Develop and implement strategies to support and enhance DEI initiatives, including training sessions and awareness programs. Act as a DEI agent, promoting diversity, equity, and inclusion within the office.

  • Plan, coordinate, and execute office events, including team-building activities, holiday celebrations, and corporate events.

  • Oversee guest management, ensuring that all visitors have a positive and professional experience.

  • Coordinate meetings, greet guests, and manage meeting spaces to ensure they are properly prepared and maintained.Handle travel arrangements and accommodations for visitors as necessary

  • Ad hoc facilitation of international shipments UPS, USPS and FedEx

  • Managing several relationships with vendors, service providers

  • Responsible for recommending and implementing office policies by setting up procedures and standards to guide the operation of the office.

Required Qualifications:

  • Minimum of 3-5 years of experience in office management, event planning, or a similar role.

  • High-level administrative experience supporting senior leaders in a fast-paced environment.

  • Proficiency in Microsoft Office Suite and familiarity with office management software.

  • Excellent organizational, analytical, anticipatory, and written communications skills

  • Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity

  • Proactive and have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of highly sensitive material with tact and professionalism

  • Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.

  • Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices and tools is required

  • A passion for DEI and a commitment to fostering an inclusive workplace culture.

  • Creative thinking and problem-solving skills.

Annual salary range for this position is between €20,500.00 - €38,100.00 gross before taxes.

Salary range applies only to candidates in Lithuania

Salary offer for the candidate is determined based on the predefined salary ranges for the position and depends on the level of competence and experience of the candidate.
