AON Executive Assistant in Vancouver, British Columbia

Executive Assistant- Vancouver

Have you supported executive-level leaders through leading a large complex consulting business? If you enjoy this supporting large complex Teams, helping them grow, and deliver service excellence for clients and interact with internal and external executive leaders daily, this may be the role for you!

Applicants must be legally authorized to work in Canada. This role is not eligible for sponsorship, and we are unable to sponsor or take over sponsorship of an employment visa or work permit.

The salary range for this position is $70,000- $85,000. The actual salary will vary based on applicant’s education, experience, skills and abilities, as well as internal equity.

What the day will look like

This role has several responsibilities, including the preparation and production of presentations and correspondence and related materials, including editing for grammar, punctuation, and phrasing. We will guide you on how to coordinate complex meeting logistics on or off-site, which may include budgeting, travel, room reservations, meeting room logistics and materials, and catering. A few other examples of duties:

  • Complete a broad wide range of administrative tasks for the leaders, including leading very active calendars, arranging travel, and managing expenses.

  • Research, prioritize, and follow up on incoming requests, issues and concerns for the leaders. Ensure a prompt response for time sensitive deliverables.

  • Successfully complete critical deliverables with a hands-on approach, including special high-level projects which require utmost attention to detail and a commitment for turning out a top-quality final product.

  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

  • Maintain/update/organize categories and data within databases, OneNote or SharePoint.

  • Be visible part of Leadership Team - attending business town halls and client events.

  • Provide back-up assistance to fellow administrative assistants when needed.

  • Maintain a high level of confidentiality

    Skills and experience that will lead to success

  • 8+ years of experience as an Administrative Assistant or Executive Assistant in a corporate environment

  • Positive and productive attitude and ability to work well with all levels (clients, senior executives, account leaders, fellow administrative professionals, colleagues and other staff members).

  • Ability to handle high-stress situations with calm competence.

  • Ability to multi-task and handle changing priorities.

  • Demonstrated resilience and the ability to problem solve.

  • Strong work ethic and ability to work outside of normal business hours as needed.

  • Solid business acumen and an interest in understanding the business.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Excellent interpersonal and organizational skills.

  • Excellent problem-solving skills; ability to proactively consider and address needs and respond to requests promptly.

  • Decisiveness and good judgment.

  • Self-directed and flexible; comfortable in fast-paced environment

  • Ability to engage team members in ways that promote teamwork
