Summary
The Dispatcher serves as the central hub of communication, coordinating schedules, assigning tasks, and relaying critical information between drivers, technicians, and office staff. They manage logistics, optimize operations, and ensure seamless coordination between the field and office. Additionally, they monitor daily activities, troubleshoot issues, and maintain accurate records while ensuring compliance with company policies and regulations.
Responsibilities
Assign tasks, routes, or jobs to drivers, technicians, or other personnel based on priority, location, and availability
Act as a liaison between field staff and management, relaying instructions, updates, or emergency information via phone, radio, or software systems
Track the progress of deliveries, service calls, or operations using GPS, dispatch software, or other tracking tools
Address delays, route changes, or unexpected issues (e.g., traffic, breakdowns) by adjusting plans or providing alternative solutions
Maintain accurate logs of dispatched calls, schedules, and completed tasks for reporting or compliance purposes
Respond to inquiries from clients or customers regarding status updates, estimated arrival times, or service details
Ensure operations follow safety regulations, company policies, and industry standards (e.g., DOT regulations for trucking)
Address and resolve delays, last-minute scheduling changes, or unexpected logistical challenges
Assist in fleet maintenance coordination and report any mechanical issues with vehicles or equipment
Sit at the reception desk to greet and assist visitors in a professional and friendly manner
Answer and direct phone calls, taking messages as needed
Respond to customer inquiries via phone, email or in person
Manage office supplies and assist with administrative tasks
Organize and maintain files, records, and reports
Regular attendance is required
Follows safety procedures
Other duties may be assigned

Qualifications
Valid Florida Driver’s License with an acceptable driving record (in accordance with our Driver’s License and Motor Vehicle Record Check Criteria)
Ability to pass a background check screening in accordance with Florida’s Jessica Lunsford Act (or equivalent state classification)
High school diploma or equivalent
2+ years of dispatching, logistics, or scheduling
Strong organizational and multitasking abilities
Excellent communication skills, both verbal and written
Proficiency with dispatch software, GPS systems, and basic office tools (e.g., Microsoft Office)
Ability to work under pressure and make quick decisions
Knowledge of local geography or routes (depending on the role)
Attention to detail and problem-solving skills
Preferred Qualifications
Experience working in a construction materials testing lab
Knowledge of transportation logistics, route optimization, and fleet management
Physical Demands & Work Environment
Majority of the work is performed in an office setting, requiring prolonged sitting while using a computer, phone, and dispatching equipment
Occasional movement within the office or job site may be required to coordinate with field personnel or inspect equipment
Frequent use of hands for typing, writing, and operating communication devices such as radios, phones, and dispatching software
Clear verbal communication is essential for coordinating with drivers, technicians, and supervisors via phone or radio
Ability to read computer screens, maps, schedules, and dispatch logs with clarity
Occasionally required to lift and carry office supplies, documents, or small equipment up to twenty-five pounds
May involve exposure to outdoor environments, construction sites, noise, dust, and varying weather conditions when coordinating with field teams
Must be able to handle high-pressure situations, including last-minute schedule changes, delays, and troubleshooting logistical challenges
