Job Summary:
Under the direct supervision of the department manager or assistant director, this position provides administrative support and general secretarial services. Responsibilities may include document preparation and distribution, arranging meetings, scheduling, generating reports, greeting visitors, and maintaining files. This position requires the use of some independent judgement and appropriate handling of confidential information. Role may handle multiple projects.
You Will Be Responsible For:
Answers, evaluates, and appropriately responds to phone calls, correspondence, electronic mail, visits, and other inquiries
Provides clerical/administrative support, relaying messages, arranging appointments and filing
Creates documents, files, prepares correspondence, and produces copies
Prepares, edits and distributes reports, agendas, letters, meeting minutes, and other documents
Relies on instructions and pre-established guidelines to complete tasks and objectives
Maintains organized files and office equipment
Meets department set SLA/performance standard
May be required to provide travel arrangements
May be required to conduct/participate in event planning
May be required to provide lunch coverage
Performs other duties as assigned
Qualifications
What Will You Need:
EDUCATION AND EXPERIENCE REQUIRED:
High School Graduate or Equivalent
Proficient in Microsoft Office, including Outlook, Excel, PowerPoint and Word
Effective time management and organizational skills
Ability to display professional interactions with all levels of internal and external customers
Excellent verbal and written communication skills
Effectively able to problem solve in complex situations
Ability to adapt to new situations and responsibilities
Must be able to read, write and speak conversational English
Analytical skills
A notary public
