The Work You Will Do :

DEP’s Office of Technology and Information Services (OTIS) is currently seeking an OPS Systems Project Analyst to assist in the implementation of Office 365-based solutions, especially SharePoint, that align with business requirements and industry best practices. The incumbent of this position serves as a customer service representative on behalf of this division when interacting with customers through all communication media, as well as when responding to incident/request service desk services. The employee is expected to identify and meet the needs of customers in order to provide excellent customer service and should be helpful, cooperative, polite, respectful and concerned at all times in the interactions with customers when representing the Department or the State.

    This position is in Florida’s capital city, Tallahassee, which islined with rolling hills, oak trees, and canopied roads. Tallahassee is a mid-sized city in the heart of Florida’s Big Bend that combines old world charm with a modern pace of life.     This is an on-site position. The work hours are 8:00 AM to 5:00 PM Monday through Friday, with a 1-hour lunch.

    Your Specific Responsibilities :

    Specific duties and responsibilities of this position include:

  • Coordinate with colleagues to implement Office 365-based solutions, especially SharePoint, that align with business requirements and industry best practices.

  • Support Microsoft Office 365 technologies such as SharePoint Online, OneDrive, PowerApps, Power Automate.

  • Assist with developing PowerApps and converting InfoPath forms to PowerApps.

  • Assist with developing Power Automate solutions and converting SharePoint Designer flows to Power Automate.

  • Assist with maintaining a list of active Site Owners per Division and Program Areas.

  • Assist department personnel by instructing them as needed on how to perform all SharePoint functions including, but not limited to, site/sub-site setup, permissions, content management and data integration.

  • Document, track and monitor incidents and changes through the ticket tracking system, including detailed information, including resolution notes, about any issues or problems.

  • Communicate with departmental staff to understand, identify, document, and resolve problems in a friendly manner and in a timely and accurate fashion.

  • Calmly, tactfully, and professionally handle complaints and concerns, assisting resolution whenever possible, escalating to supervisor when not able to assist.

  • Ability to adapt to changing technologies and prioritize tasks effectively.

  • Maintain and exemplify an attitude and philosophy consistent with the DEP Core Values and Standards.

  • Perform other duties as assigned.

    Required Knowledge, Skills, and Abilities :

  • Comprehensive understanding of SharePoint and OneDrive in Microsoft 365.

  • Working knowledge of Office 365 SharePoint site branding (classic experience vs. modern experience).

  • Working knowledge of Office 365 SharePoint including, but not limited to, users, groups, permissions, site setup, web parts, web apps, customizations, etc.

  • Familiar with Microsoft Power Apps and Power Automate to automate and streamline business processes in SharePoint.

  • Ability to prepare technical documentation such as user guides, instructional documents, and training materials.

  • Familiar with Section 508 of the Rehabilitation Act of 1973 and Florida Accessible Electronics and Information Technology Rules 60-8.002 Florida Administrative Code.

  • Ability to speak to large groups and provide educational training.

  • Excellent written and oral communication skills.

  • Excellent interpersonal skills.

  • Good understanding of the agency’s goals and objectives.

  • Strong understanding of communications, marketing, and customer service principles.

  • Experience in gathering, analyzing, and meeting business requirements.

  • Understanding of basic project management principles.

  • Ability to conduct research to resolve issues related to assigned job duties and responsibilities.

  • Highly self-motivated and directed.

  • Ability to effectively prioritize and execute tasks in a high-pressure environment.

    Minimum Qualifications :

    Experience with SharePoint, JavaScript (including libraries like jQuery), JSON, REST APIs, CSS and HTML.

    Preferred Qualifications :

    Bachelor’s degree in computer science, information technology, or a related field; equivalent work experience in lieu of a degree is acceptable.
