The working title for this position is Government Operations Consultant I.
About our Team:
This position will join our meeting planning team in the Bureau of Operations, Operational Support Services unit within the Department of Health, Division of Medical Quality Assurance. This team is dedicated to assisting the regulatory boards within the Division of Medical Quality Assurance by planning events for statutorily required meetings, processing travel reimbursement requests, and processing special testing accommodation applications for candidates with physical, mental, or specific learning disabilities.

To be successful in this position, we are looking for an individual who is highly attentive to details, is highly organized, who possesses strong written and verbal communication skills, who works independently, and can meet deadlines. We are looking for someone who has strong interpersonal skills to build and maintain relationships with our board offices, vendors, and team members. The chosen candidate should have the diplomacy and tactfulness to handle different personalities and opinions.
Position Specific Responsibilities:
Collaborate with internal and external stakeholders to understand event objectives, requirements, and preferences.
Plan, organize, and execute events from concept to completion, ensuring all details are meticulously handled.
Source and coordinate with vendors, including but not limited to, venues, court reporters, audio visual technicians, and security service providers.
Develop event timelines and schedules, ensuring all milestones are met.
Coordinate event logistics, including setup, audio-visual needs, and sleep rooms.
Communicate with internal and external stakeholders to ensure seamless execution and provide prompt issue resolution.
Aid board members by processing travel reimbursement requests following events.
Create and manage purchase orders for event services and other Department-wide needs.
Process invoices for event services and other Department-wide needs.
Process special testing accommodation applications.
Process and distribute mail for the Operational Support Services unit.
Required Knowledge, Skills, and Abilities:

Key knowledge, skills, and abilities we seek in the chosen candidate include event planning knowledge, communication skills, organizational skills, problem-solving skills, interpersonal skills, negotiation skills, vendor management skills, and the ability to remain flexible in a fast paced, frequently changing environment.
Technical proficiency is crucial to the success of the incumbent in this position. The chosen candidate should:
Be familiar with the Windows operating system and should have the ability to navigate the interface, manage files and folders, and understand basic system settings.
Be familiar with the Microsoft Office Suite including Microsoft Word, Excel, Access, and Outlook.
Be familiar with internet browsing for research, communication, and accessing web-based applications.
Understand how to use the Outlook email client to compose, send, receive, and organize emails as well as maintain meetings on their calendar.
Be familiar with basic typing and keyboard shortcuts (such as copy/paste) which greatly enhance productivity.
Understand file management including the ability to create, save, move, and organize files and folders on the personal desktop as well as shared drive folders.
