THIS IS NOT A TELEWORK POSITION. POSITION IS LOCATED IN THE TALLAHASSEE HEADQUARTERS OFFICE.
This is a professional data analytic accounting position located in a fiscal office environment (telework is not available). The incumbent will monitor financial activities and provide reporting of the Financial Support Services area.
This position will:
Generate, extract, review/analyze, and reconcile data from MyFloridaMarketPlace (MFMP), Florida Accounting Information Resource System (FLAIR), Statewide Travel Management System (STMS) and PCard WORKS. Monitor and report on state prompt payment, interest penalties, and voucher imaging reports.
Generate excel reports to determine and analyze accuracy of financial data input for all finance and accounting areas. Identify discrepancies and work with management and staff to address.
Conduct special studies and make recommendations.
Collaborate with fiscal areas to gather and collect information on processes; identify and recommend process improvement; document and produce procedures.
Create and present training materials in–person and/or on Microsoft Teams with finance and staff and customers.
Perform quality control of vendor invoices and/or employee reimbursements / clients for accuracy, completeness, and compliance with Florida Statutes, Florida Administrative Code, directives, policies, procedures, and generally accepted accounting principles.
Research and resolve payment inquiries from vendors and employees; effectively communicate results to customers by email as well as by telephone/Microsoft Teams; identify recurring issues and report statistical results to management
Assists management with the monitoring of reports of voucher assembly, upload to voucher imaging Axiom Pro and timely submission monitoring to Department of Financial Services for audit and posting.
Analyze payment documents to determine transaction date as defined by Section 215.422 F.S. Sort invoices in accordance with office requirements and stage them in the unpaid pending invoice file.
Schedules for permanent record retention in accordance with Department of State and Department of Children and Families policies. Archive prior year files and maintain record retention documents in accordance with procedures. Respond to requests for voucher information from internal and external auditors and to comply with public information laws.
Performs related work as required.
Minimum Qualifications:
At least three years of experience in systems and data analysis and research
Required Knowledge, Skills, & Abilities
Knowledge of accounting principles, practices, and procedures. Knowledge of the methods of data collection.
Ability to use excel for reporting, to create pivot tables/graphs and conduct analysis of data for reporting.
Ability to prepare financial statements and reports.
Ability to prepare and maintain a variety of accounting records.
Ability to analyze and interpret accounting data.
Ability to understand and apply applicable rules, regulations, policies, and procedures relating to an accounting program.
Ability to plan, organize and coordinate work assignments.
Ability to communicate effectively, establish and maintain effective working relationships with others.
Ability to use automated accounting systems and general office equipment.
Ability to work independently.
Ability to utilize problem-solving techniques.
Ability to collect data and gather information to produce procedures and guides.
Ability to create training materials and conduct trainings.
