Position Overview:

We are seeking a highly organized and detail-oriented Operations Analyst to join our team in São Paulo. The ideal candidate will have exceptional communication skills with proficient English, a strong background in administrative and operational support, excellent attention to detail, intermediate proficiency with learning new technologies, and the ability to work collaboratively across departments. The Operations Analyst will play a critical role in ensuring the efficiency and effectiveness of our professional services operations. The primary responsibilities include resource management, time entry management, data collection, and ensuring data quality between sales and professional services operations.

Key Responsibilities:

  • Resource Management:

  • Oversee the allocation and utilization of resources across various projects.

  • Monitor and manage resource availability, ensuring optimal deployment to meet project demands.

  • Collaborate with project managers to forecast resource needs and address any gaps.

  • Time Entry Management:

  • Ensure accurate and timely entry of hours worked by team members.

  • Develop and enforce time entry policies and procedures.

  • Generate and analyze reports on time tracking to support billing and payroll processes.

  • Data Collection and Management:

  • Coordinate the collection and maintenance of data on employee skills and certifications.

  • Implement and maintain systems to track and update this data regularly.

  • Ensure that data is accurate, up-to-date, and readily accessible for resource planning and project assignments.

  • Data Quality Management:

  • Ensure the integrity and quality of data shared between sales and professional services operations.

  • Perform regular audits to identify and correct discrepancies in data.

  • Work closely with sales and professional services teams to streamline data processes and improve data accuracy.

  •  Event Planning:

  • Plan and coordinate company events, including meetings, workshops, and team-building activities.

  • Manage logistics such as venue booking, catering, and equipment setup.

  • Meeting Notes:

  • Attend key meetings and record detailed minutes.

  • Distribute meeting notes to participants and track follow-up actions.

  • Managing Leadership Goals:

  • Assist leadership in setting, tracking, and achieving strategic goals.

  • Provide regular updates on progress towards goals and identify any potential obstacles.

  • Supporting HR and Marketing Teams:

  • Collaborate with HR to support recruitment, onboarding, and employee engagement initiatives.

  • Work with the Marketing team to coordinate campaigns, events, and promotional activities.

  • Booking Conference Rooms:

  • Manage the scheduling and booking of conference rooms to ensure optimal usage.

  • Coordinate with IT and facilities to ensure rooms are properly equipped and maintained.

  • Managing Internal Surveys:

  • Develop, distribute, and analyze internal surveys to gather feedback from employees.

  • Report survey results and recommendations to leadership for continuous improvement.

  • Administrative Tasks:

  • Handle daily administrative tasks, ensuring smooth and efficient operations.

  • Oversee delivery management with DHL, Loggi, and the post office, ensuring timely and accurate deliveries.

Qualifications:

  • Brazilian citizen residing in São Paulo.

  • 2-4 years of experience in operations analysis, resource management, or a similar role, preferably within a professional services environment.

  • Excellent written and verbal communication skills in Portuguese and English.

  • Attention to detail, strong organizational skills and commitment to data accuracy.

  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint)

  • Being comfortable with analyzing reports (within PowerBI and MicroStrategy).

  • Experience with CRM tools like Salesforce.

  • Familiarity with project management tools.

  • Ability to manage multiple tasks and prioritize effectively.

  • Experience with other technologies, such as survey management, BI reporting, and skills management is a plus but not required.

  • Strong interpersonal skills and the ability to work collaboratively across teams including leadership team.
