Description and Requirements

Do you thrive in a fast-paced IT environment where you can wear multiple hats? Are you a master organizer with a knack for getting things done? If so, then this exciting hybrid role might be perfect for you!

We are seeking a highly motivated and detail-oriented individual to join our team as a Executive Assistant Project Coordinator. In this unique position, you will split your time between supporting the smooth operation of our executive's schedule and projects. This position is part of a global team, participating in projects and providing support to teams in different countries and time zones. Our work hours are flexible to meet the needs of our global team.

Key Responsibilities

  • Manage project lifecycles, from initiation and planning to execution and closure.

  • Develop and maintain project timelines, budgets, and resource allocation plans.

  • Track project progress, identify and mitigate risks, and communicate effectively with stakeholders.

  • Utilize project management tools and methodologies to ensure project efficiency.

  • Prepare clear and concise project reports and presentations for the executive team.

  • Manage the executive's calendar, scheduling appointments, meetings, and travel arrangements.

  • Anticipate and proactively address the executive's needs, ensuring a smooth and efficient workflow.

  • Draft correspondence, presentations, and reports as needed.

  • Host “All Hands” meetings, staff meetings, and employee round tables with leadership.

  • Manage travel logistics, including booking flights, hotels, and transportation.

You are a great fit for this role if you have:

  • Proven experience in project management methodology (e.g.,Prince2, PMI, Agile…).

  • Excellent organizational, time management, and communication skills.

  • Strong attention to detail and a proactive approach to problem-solving.

  • Ability to prioritize multiple tasks and work effectively under pressure.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.

  • Discretion and diplomacy in handling confidential information.

  • Excellent interpersonal skills and the ability to build strong relationships.

Bonus points for:

  • Experience working in a similar fast-paced environment within the IT industry – ideally PC / Mobile Services

  • Comfort with public speaking, hosting meetings and training sessions for a large organization

  • Familiarity with leading projects in complex organizations
