SUNY Upstate Medical University Office Assistant 2 (Keyboarding) in Syracuse, New York

Job Summary:

Duties include, but are not limited to performing all secretarial assignments relevant to the Maintenance & Operations Center of Physical Plant. Will complete payroll related duties in a timely and accurate manner which involve inputting, updating & maintaining employee Kronos information as well as department Time Distribution Sheets; provide excellent customer service to internal and external customers which includes answering and screening telephone calls, performing receptionist duties, and handling/referring customer complaints and concerns in a professional and courteous manner; update and revise employee departmental job descriptions and prepare documentation for recruitment of vacancies; maintain adequate levels of office supplies and order items when necessary; assist in responding to emergency situation following all established protocols and procedures; maintain log book regarding elevator repairs, vehicle usage, key distribution and pest control; enter and update work orders in an accurate manner; and complete other secretarial duties such as typing correspondence, running computer generated reports, opening and distributing mail, copying/faxing, etc. Will assist in other areas of the department on an as-needed basis.

Minimum Qualifications:

NYS Department of Civil Service Eligible list or eligible for transfer

Or

Promotional:

Must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service as an office assistant, clerical or keyboarding title allocated to Grade 5 or higher. Or

Open competitive (Non-competitive, NY HELPS) Qualifications:

One year of clerical experience where majority of work time is spent performing keyboarding, data entry, chart compilation or arrangement or various tasks involving typing into computerized systems.

*Candidates will be required to pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.

Work Days:

Schedule is based on a 37.5 hour work week. Monday-Friday between the hours of 7:00-4:30pm.

**The NYS Department of Civil Service has expanded the NY HELPS Program. During this program, the NYS Civil Service Exam requirements are suspended for the Office Assistant 2(Keyboarding) title.

NY HELPS appointments may be temporary pending commissioner approval or permanent based on candidate eligibility.
