NTT DATA is looking for an eager, enthusiastic and high energy person to be our Administration Assistant and Receptionist for the NTT DATA Sydney CBD office. This is a full-time, permanent position that requires 100% onsite presence.

The Administration Assistant and Receptionist is the first point of contact for our clients; vendors & staff and you will be the face and voice of NTT DATA working in a professional & energetic team providing exceptional internal and external customer service.

What you'll be doing

Your responsibilities would include:

  • Answer and screen telephone calls, addressing and resolving queries, or escalating complex issues to the appropriate individual.

  • Meet, greet and build rapport with managers, staff, customers, clients and vendors.

  • Maintain, organize and ensure that the front desk and front of house is presented to a high standard.

  • Manage hospitality requirements, cleanliness and set-up for all meeting rooms, breakout and kitchen areas.

  • Manage all processes and facilities to maintain a professional and pleasant office environment for employees and clients.

  • Manage meeting room bookings.

  • Maintain office supply inventory and other additional supplies as needed.

  • Assist the mail room with courier deliveries received and outgoing daily.

  • Process incoming and outgoing mail, by sorting and distributing to the relevant individuals.

  • Provide administrative and secretarial support function with limited or no guidance.

  • Submit expense claims.

  • Arrange travel bookings as required.

  • Manage hard copy and electronic files and records and maintain an adequate filing system.

  • Prepare, complete, and distribute the relevant management reports.

  • Prepare and create presentations, spreadsheets and databases as required.

  • Strong service orientation – proactively supporting the team with their administrative requirements, and being a trusted point of contact with accurate and up-to-date information

  • Professional presentation with the ability to communicate and interact effectively with clients, vendors and staff at all times

  • Excellent multi-tasking, prioritising, organisational and attention to detail skills

  • A 'can do' attitude, works well in a team and happy to take on ad hoc tasks as required

Required Experience

  • Intermediate skills in MS Office including Microsoft Outlook calendar

  • Demonstrable working experience in a related environment.
