About the role:
Shipping Specialist manages and coordinates the transportation of goods. Responsibilities include organizing shipments, ensuring compliance with regulations, negotiating, and tracking shipments to ensure timely delivery. Additionally, handle documentation, resolve transportation issues, and optimize shipping processes for efficiency. Strong communication and problem-solving skills are crucial. Finally, the shipping specialist is expected to prepare and maintain transportation budgets and carry our actions to optimize freight spend and sustainability goals.
Coordinate logistics for both domestic and international shipments. Assess knowledge gaps within team end establish necessary team capability building and technical skill enhancements
Manage documentation for export, including permits, customs paperwork, certificates and shipping instructions
Plan, book, and ship outgoing goods from Strzelin in accordance with schedule
Load planning to optimize freight using available tools and systems
Invoice goods, shipping costs, service and, if necessary, issue credit notes
Notification of documents against carrier/customer
Invoice control against carriers
Calculate shipping cost for ad-hoc shipping requests
Drive claims cases against carriers and insurance companies
Update delivery schedule and standard work instruction within assigned responsibilities
Update/maintain customer register
Manage performance and relationships with Xylem carriers
Collaborate internally with site functions and commercial teams
Collaborate with finance in prepare transportation budgets/forecast and report actual performance
Ensure compliance with international trade regulations and customs requirements
Additional responsibilities:
Follow company's values, rules and guidelines
Take part and stay up to date on regulations or changes relating to export. For example, via the Chamber of Commerce and Customs
Continuous improvement work within own department through CI, SQDIPE and Improvement Group work.
Maintain/Build knowledge and expertise within the transport segment
Oversee and track shipments to ensure on-time delivery and customer satisfaction
Qualifications:
Academic background in Logistics or supply chain management, international trade
Minimum 5 year’s experience in relevant areas for an international company
Potential to grow/expand the role within the organization
Excellent Polish/English (German, French, Italian, Spanish or Swedish is a plus)
Track record of accountability
Good analytical skills and proficiency in MS office
Capability of translating customer needs into shipping solutions
International Trade and compliance knowledge
