Stony Brook University Strategic Sourcing Coordinator in Stony Brook, New York


Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). In lieu of a Bachelor's degree, an Associate's degree (foreign equivalent or higher) and two (2) years of directly related experience or a combination of higher education and experience totaling four (4) years may be considered. Two (2) years of full-time experience in purchasing, strategic sourcing (or related), and/or category management. Prior experience using Microsoft Office Suite, to include Microsoft Excel or other data analysis-relevant software.Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher) in Business Administration, Supply Chain Management, or a related field. Experience working in a New York State Purchasing department in higher education, a non-profit organization, or a local government agency. Experience analyzing and interpreting vendor's cost proposals. Experience working with Jaggaer or other procure-to-pay systems. Brief Description of Duties:
The Strategic Sourcing Coordinator is a critical support member of the procurement team, responsible for developing and managing sourcing templates in the e-procurement system, gathering and analyzing data, conducting market research, and providing insights to support strategic sourcing initiatives. This role involves working closely with the Strategic Sourcing Assistant Director, Sourcing Team, and cross-functional teams to enhance procurement efficiency, identify cost-saving opportunities, and contribute to the overall success of the organization's sourcing strategy. The incumbent will be expected to comply with all Federal, State, SUNY, Research Foundation, and Stony Brook standards and regulations. Excellent communication, analytical skills, familiarity with procurement processes, and strategic sourcing principles will be critical for success in this role.

  • Sourcing Support:
    • Collaborate with the Sourcing team to identify suitable suppliers and evaluate their qualifications.
    • Create all New York State Contract Reporter Advertisements for the entire Sourcing team.
    • Create and maintain updated all Sourcing team events inclusive of RFx templates, amendment templates, exhibits, and clauses.
    • Assist in the development of strategic sourcing plans with the Assistant Director.
    • Supporting with gathering spend analytics per subcategory; internal stakeholder information; incumbent supplier data; and market intelligence.
    • Support the Sourcing team with processing of low-dollar requisitions, as needed.
  • Contract Management:
    • Ensure compliance with NYS Finance, SUNY, RF, and SBU contract terms and conditions, and highlight any deviations or potential risks.
    • Collect and maintain current all NYS-required Exhibits and insurance documentation such as Certificate of Insurance, Workman's Compensation, and Disability Insurance certificates.
    • Provide all necessary documentation to SBU's internal auditor pursuant to any FOIL (Freedom of Information Law) requests.
    • Assist with scheduling all Business Reviews with SBU's strategic partners including the Director of Strategic Procurement and key stakeholders.
  • Cross-Functional Collaboration:
    • Collaborate with cross-functional teams, including finance, accounts payable, and stakeholder teams, to align sourcing strategies with overall business objectives.
    • Schedule internal meetings for the Assistant Director to review strategic opportunities with key stakeholders within the institution.
    • Provide analytical support to the Sourcing team involved in the procurement process.
    • Create and maintain all SOPs (Standard Operating Procedures) for our Sourcing team's procurement processing.
  • Reporting:
    • Generate regular reports on key performance indicators, supplier performance evaluations, supplier quarterly data/contract spend reports, and sourcing metrics.
    • Present findings to the Strategic Sourcing Assistant Director, contract officers, and buyers, offering recommendations for improvement.
  • Data Analysis:
    • Collect, analyze, and interpret data related to procurement activities, supplier performance, and market trends.
    • Utilize data analysis tools and techniques to identify patterns, opportunities, and areas for improvement.
  • Market Research:
    • Conduct research on potential suppliers, market conditions, and industry trends.
    • Provide insights into supplier capabilities, pricing models, and potential risks or opportunities.
  • Cost Optimization:
    • Analyze the total cost of ownership and identify opportunities for cost savings.
    • Contribute to initiatives aimed at improving procurement efficiency and reducing expenses.
  • Other reasonable duties as assigned:
    • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
