Human Resource Leave Administrator
Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Two (2) years of full-time Human Resources experience. Proficiency with computer software such as Microsoft Office Suite and/or Google Workspace.
Preferred Qualifications:
Advanced degree (foreign equivalent or higher). Prior experience handling leave of absence for such as FMLA, Paid Family Leave, Americans with Disabilities Act, etc. Experience in public sector employment and/or higher education. Experience working with a Human Resources Information System (HRIS) and/or payroll systems.
Brief Description of Duties:
The Leave Administrator for Stony Brook University handles all aspects of employee leave. The incumbent will be expected to be a primary point of contact for all employee leave-related questions. The Leave Administrator will be expected to audit, reconcile, and determine payroll submission needed from timesheets; therefore, strong organizational, analytical, written, and verbal communication skills will be necessary for success.
Leave Administration:
Serve as the subject-matter-expert for leaves of absence and requests for accommodation under the general direction and guidance of HR leadership, Office of Equity & Access (OEA), and/or the legal department as appropriate.
Interpret and administer leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, Paid Family Leave, Americans with Disabilities Act, etc.) and in accordance with Stony Brook policies and collective bargaining agreements.
Independently evaluate, approve, and/or deny leave cases based on relevant medical information and eligibility criteria.
Develop and oversee all administrative aspects of the leave of absence process, including tracking hours used/taken, sending timely notifications of leave approvals or denials, and working closely with Payroll and Time & Attendance to ensure that pay for employees is accurate and correct.
Coordinate fit-for-duty requests for employees returning from an extended leave of absence.
Employee Leave Communications:
Work closely with employees to ensure that all relevant completed medical documentation is submitted for timely review.
Maintain appropriate contact with all employees on leave and coordinate all aspects of return to work for employees on leave.
Collaborate with VP Coordinator (VPC), department administrator, and employees’ supervisors on all leave cases to review leave status and develop strategies for resolution.
Leave Reconciliation & Time Reporting:
Responsible for the audit, reconciliation, and payroll submission of timesheets.
Serve as the liaison for internal and external departments with regard to leaves and time reports.
Collaborate with the Workers’ Compensation Specialist on employee leaves related to accidents and injuries.
Collective Bargaining & Other Local, State, & Federal Guidelines:
Proficient in existing collective bargaining agreements as they relate to duties and responsibilities.
Ensure that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
Additional Duties & Responsibilities as Assigned:
Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes:
This is a Management Confidential position. This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
