Associated Eye Care, LTD Surgery Scheduling Manager in Stillwater, Minnesota
Position Summary The Surgery Scheduling Manager is responsible for planning, coordinating, and monitoring logistical operations such as management of adult and pediatric surgery patients in a fast-paced multi-specialty eye care practice including a licensed surgery center, Lasik suite and multiple outside surgical sites. This position is directly responsible for program development working closely with surgeons and developing new strategies to streamline processes across all aspects of the surgical experience. Expected compensation between $53,964.03 - $64,756.84 per year. Compensation will be determined based on relevant experience and skills. Direct Reports Surgery Counselor Surgery Scheduling Manager Essential Functions Manages and develops staff in all areas within the department Facilitates growth initiatives for all surgical avenues including LASIK, cataract, and advanced technology intra-ocular lenses Manage co-management paperwork between AEC and referring outside providers Manages outside surgery schedules with hospitals and surgery centers including securing/changing block time, analysis of block time and utilization to optimize surgeon availability and time Perform metrics reporting and data analysis tasks to identify issues and opportunities for process improvements Work with ASC and VSC managers for template and event changes for the Ambulatory Surgery Center schedule Personnel management conduct employee evaluations and aid in recruitment Maintain surgery scheduling documents electronically to allow for efficient scheduling processes Create and update policies and Standard Work documents in regard to scheduling surgery and collecting payments appropriately Act as liaison between the surgery schedulers and the Ambulatory Surgery Centers Organizes implementation of new and emerging refractive surgeries and technologies Work directly with marketing to develop promotional and educational materials Other responsibilities as designated by the assigned Director Team/Employee Management Essential Functions Participates in hiring, orientation and performance evaluations, and counseling of staff Moves staff as necessary to increase efficiency and reduce costs Develops creative ideas and innovative approaches to improve work schedules, work processes or productivity Leads and guides training team to make sure that each employee is given training, follow-up, and resources needed to be successful in their role, both as a new hire and ongoing Creates tools for team members to use when making decisions Collaborates with the department Director when employee performance is not meeting expectations to develop a performance improvement plan with specific measurable goals with due dates Seeks out ways to make the other members of the practice outside their team successful; recognizes excellent work of other departments and collaborates with other departments Monitors industry trends and technological advances to identify future improvements and its impact Assist with LASIK chart preparation, patient check-in and surgery day instructions Assists with Lasik inventory and supply management Assists with insurance eligibility and benefits for patients scheduling surgery, as well as necessary prior authorizations for surgery Assists with processing out of pocket payments for patients who are having surgery with our providers Assists with scheduling surgeries when necessary Other Essential Functions Must be willing and able to work a variety of hours and work in the various locations as needed. Participates in department and company meetings, as requested Performs other duties as assigned
