The Student Records Specialist is responsible for assisting with the daily processes of the Records and Registration Office.  The position maintains the integrity of student academic records. Responsibilities also include providing back-up to the Registrar for various internal and external reporting processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES


  1. Directs the front counter operations -- Assures proper coverage. Assists with interviewing and selection process for new work-study students. Trains new work-study hires and makes them aware of new/updated processes. Coordinates work-study students' work schedules. 
  2. Processes requests for official/unofficial transcripts including requests retrieved from the online ordering system through the National Student Clearinghouse.
  3. Assists with processing student registration and drop/add schedules, program major, catalog year changes, and name changes. Guides students through the registration process in Student Planning.
  4. Coordinates College Credit Plus (CCP) registrations with Early College Coordinator and RN/LPN/SWK registrations with course coordinators to batch register students.
  5. Closely monitors, responds, and organizes the Records email account continuously throughout the day.

Troubleshoots, researches, and solves student issues and concerns initiated by the student, faculty, or staff.

7.

Approves or denies Fresh Start Petitions according to prescribed guidelines and updates the student's record in Colleague accordingly.

8.

Verifies and processes student address changes initiated by students in Self-Service.

9.

Maintains the graduation inventory database, prepares commencement materials, and coordinates the printing and mailing of diplomas.

10.

Assists with the commencement ceremony. Coordinates the flow and design of the check-in area.
