Kelly Services AD30 - Administrative Assistant III in Shelton, Connecticut

The Customer Service Representative will have direct responsibility to provide administrative support to execute various tasks and objectives to process and ship Sales orders. The position follows established standard operating procedures that drive daily business activities. Functions include detailed order processing, updating metric data, review compliance penalties and validate deductions and generating returned goods authorizations.

Work closely with Customer Service Leads and customers relative to all assigned accounts on tasks such as:

Receiving and processing of Sales orders:

  • Timely communication to the customer regarding modified orders based on inventory availability.

  • Review backorder updates and adjust shipment dates accordingly.

  • Execute product allocation releases.

  • Check held orders and maintain them based on customer profile/inventory requirements.

  • Perform order maintenance per direction provided.

  • Entering and process manual sales orders.

  • Scan appropriate supporting documentation to related purchase orders in JDE.

  • Monitoring and responding to mailbox inquires.

Perform routine administrative duties:

Respond to general order inquires:

  • Order confirmations.

  • Coordinate and process order expediting.

  • Provide Shipment and delivery notifications via email and phone calls.

  • Answer incoming calls and route calls accordingly.

Electronic Data Interchange:

  • Review and resolve EDI sales order errors.

Customer master profile updates per Customer Service Lead:

  • Update account profile , inventory allocation, payment terms, delivery date preferences, and order prep time.

  • Review vendor guides/routing guide and identify if there are any issues with compliance.

Return Goods Authorizations

  • Process approved product returns

  • Support Delivery Issues Process

Price file maintenance

  • Align records to incorporate discounts, exceptions and base pricing.

Additional support:

  • Print weekly and monthly reports as requested.

  • Solve administrative customer service problems of limited scope and complexity.

  • Work on customer service projects and administrative assignments with clearly defined objectives.

  • Participate in user testing for software upgrades.

  • Provide compliance documentation.
