Job Title: Project Assistant

Job Description

The Project Assistant is responsible for supporting the project team in coordinating and managing various administrative tasks. This role involves attending project handoff meetings, setting up projects in operational and financial networks, preparing and delivering submittal packages, and maintaining project documentation.

Responsibilities

  • Attend and take notes at Project Handoff meetings from the Sales Team.

  • Set up projects in Operations networks/schedule and verify that Finance has the project set up in their network.

  • Prepare and deliver submittal packages and site-specific safety plans.

  • Request, review, and file relative project documents including schedule updates, RFI/ASI documents, RFQ/RFP/Change Order documents, closeout and warranty requirements, and LEED information.

  • Maintain and update information accurately in project software systems including Exepron, Reportex, and Measure Square.

  • Collect and file daily reports from Project Installation Teams on sites.

  • Work with Finance to maintain Subcontractor compliance including signed MSA Agreements, insurance certificates, and project-specific requirements.

  • Fill out credit card reports monthly for PM and field installers as needed.

  • Complete material lists and review for a 'full kit'.

  • Create and send P.O.s for project buyout and update the Material list with relevant information.

  • Maintain a clean inbox with fewer than 50 emails and file all project-related emails in the appropriate folder.

Essential Skills

  • Experience with Exepron, Reportex, and Measure Square systems.

  • Knowledge of RFQ's/RFP's and Change Order documents.

  • Construction management knowledge.

  • 2-3 years of experience in Construction Administration.

  • Proficiency in Microsoft Excel and other Microsoft Office applications.

  • Strong reporting and scheduling skills.

Work Environment

The worksite is located in Seattle, WA. The work hours are Monday through Friday, from 7am to 4pm. The dress code is business casual. The company offers healthcare insurance with 100% individual coverage, vacation time, and a quarterly team bonus based on company performance. Performance reviews are conducted annually, with a 90-day onboarding program and an introductory review period.

Pay and Benefits

The pay range for this position is $24.04 - $28.85/hr.
