UW’s Department of Surgery has an exciting opportunity for a Program Administrator for Cardiothoracic (CT) Surgery Education Programs. POSITION PURPOSE CT Education is part of the Education Division, which is comprised of all surgical education programs, including staff and surgeon leadership, across the Department of Surgery.

The Cardiothoracic Surgery Education Program Administrator provides program operational and administrative support to the CT surgery integrated residency and fellowship programs. In this capacity, the individual in this position is responsible for the day-to-day operations, administration, and management of the programs and will work under the general direction of the faculty Residency and Fellowship Program Directors and Associate Program Directors for the following programs:

• Cardiothoracic Integrated Residency Program • Cardiothoracic Fellowship Program • Cardiothoracic Transplant Fellowship • Adult Cardiothoracic Fellowship

This position reports to the Surgery Education Division Administrator, with a strongly matrixed reporting relationship to the CT Program Director. This position also interacts with the Division Administrator for Cardiothoracic Surgery in a matrixed capacity.

The successful candidate will have knowledge of residency training programs, have or quickly gain knowledge of the UW GME system and understand the differences and similarities between ACGME and non-ACGME programs. It is essential that this individual understand surgical practices, and most beneficial if this individual understands cardiac surgery clinical and academic practices and priorities. The individual in this position must be able to inspire confidence in multiple program directors and achieve expertise and coordination between and among the programmatic and specialty areas.

Our Mission and How This Position Contributes: The UW School of Medicine's Graduate Medical Education Office is responsible for the administrative oversight and academic quality of its programs. There are 118 Accreditation Council for Graduate Medical Education (ACGME) residency and clinical fellowship programs, including the 4 programs overseen and managed by this position.

The Education Division in the Department of Surgery was formed in 2018. The staff team comprising this division is the program administrators who partner with their program directors and associate program directors to oversee and manage the ACGME and non-ACGME education training programs across Surgery. The Education Division is led by the Vice Chair for Education, Dr. Jeffrey Friedrich and the goals of the division are to build community and staff and faculty expertise and leadership in graduate medical education, standardize processes to become more efficient and effective, build infrastructure to help with cross coverage and seamless staff transitions, and create a safe environment where staff and faculty surgical program leaders seek to understand and support each other across programs.

DUTIES AND RESPONSIBILITIES Primary duties are in two categories: • Management of the Cardiothoracic Surgical Education Trainee Programs (80%) • Financial & Administrative Management of CT Education Programs (20%)

MINIMUM REQUIREMENTS Education: • Bachelor’s degree in Business, Healthcare Administration, Communications, Public Policy, Psychology, Biological Sciences, or related field • Minimum 3 years' experience of progressively responsible programmatic operational and administrative program support of a program with complexity of rules, deadlines, and requirements

ADDITIONAL REQUIREMENTS • Proficiency in Microsoft Office Suite of products, particularly Word, PowerPoint, Outlook, and database programs such as Access • Flexible hours are sometimes necessary • Strong organizational skills; must be able to set own work priorities and direct others as necessary • Demonstrate ability to meet deadlines • Strong EQ, with proven customer service skills • Strong written and verbal communication skills • Actions inspire confidence in superiors, peers, and those more junior

DESIRED QUALIFICATIONS • Experience working in residency and fellowship programs in a large academic medical setting strongly preferred • Knowledge of medical terminology and clinical practice particularly in surgical specialties • Experience working in MedHub or similar database programs • Familiarity with faculty appointment process

CONDITIONS OF EMPLOYMENT
• Hybrid work model supported with 2-3 days onsite and the remaining days remote • Certain weeks and events will require onsite presence that may be different days than usual onsite schedule
