Brown-Forman HR Administrator in Sao Paulo, Brazil
As the Human Resources Administrator, you will support the Human Resources team and Brazil office by providing administrative and operational support, including the areas of reception, HR administration, and executive assistance.
What You Can Expect
HR Administration
● Provide onsite orientation for new hires, which includes leading office tours and procuring onsite technology equipment
● Maintain physical employee files, following local regulations and Brown-Forman record keeping requirements
● Support employee engagement initiatives and activities
● Assists the day-to-day tasks in the Human Resources area
● Assists with the payment of services and benefits from HR suppliers
● Help to organize HR events and employee gifts
● Support the SCA&C National Conferences and Conventions, helping the committee to plan and book the hotel, air tickets and restaurants reservations
● Manage guest and security requirements, coordinating meeting rooms and catering as needed
● Organize the agenda for external guests and BFC executive visitors (hotel reservations, transportation, book the meeting rooms, restaurants, etc).
● Organize special meetings and events, including trade visits, Town Halls and happy hours, requesting the food and vendors when is needed
● Support the business trips for SCA&C LT members (book air tickets, hotels, transportation).
● Manage the local fleet program
Office Administration
● Serve as the office health and safety coordinator
● Liaise with facilities management to resolve building maintenance issues
● Manage the office supply program, ensuring that supplies are ordered and organized as needed
● Manage the office needs & maintenance (facilities), including the management of third parties such as the cleaning provider and receptionist work and contract.
● Responsible for the accurate operation and utilization of Coupa, securing the whole process for all activities related to office needs and events.
What You Bring to the Table
● Minimum of 3 years experience in HR administrative role.
● Excellent interpersonal skills with the ability to communicate with and greet visitors professionally.
● Strong computer skills, including proficiency in Google Suite ( (spreadsheets and google slides).
● Strong organizational skills, attention to detail and the ability to manage multiple tasks simultaneously.
● High degree of integrity with the ability to be objective, maintain confidentiality, and exercise sound judgment.
● Fluent in English and Portuguese. Spanish will be an advantage.
