Conference Coordinator

Location: Santa Clara, CA

Requirements: Need to have your laptop.

Rate: $30-35/hr

Length: 1+year – can be ongoing assignment

Contract position with Kelly OCG (Outsource Consulting Group). You will receive benefits including, Medical, Dental, Vision, 401k, paid vacation, holidays and sick time.


  • Responsible for building and executing an outstanding customer experience for all health care professionals and guests of the Johnson & Johnson Institute by providing stakeholder support, operational oversite and scheduling of conference and lab space for the J&J Institute location

  • Provide excellent customer service to all guests of the J&J Institute through registration, onsite support, successful meeting planning and execution.

  • Process meeting and lab space requests for J&J Institute locations, collaborate with Institute team members and maintain the site’s event calendar through Outlook, GoLims and CVent

  • Collaborate with meeting planners, professional education, sales training, internal and external stakeholders, etc. to coordinate all meeting & lab logistics in support of a service excellence culture

  • Problem solve on the spot, manage multiple tasks, while maintaining a positive attitude and outlook

  • Partner with and direct multiple support teams i.e., catering, facilities, cleaning services, security while building strong relationships that support an excellent customer experience

  • Utilize solutions-oriented thinking to resolve scheduling conflicts and accommodate special requests with external and internal stakeholders

  • Partner with lab staff, AV staff, event planners, and requestors daily to accommodate specific needs and/or last minute requests in support of a successful training experience for all guests and healthcare professionals

  • Take pride and accountability for all conference space within the J&J Institute - maintain a clean and orderly environment, have a proactive versus reactive approach to maintenance and cleaning needs to build the best customer experience for all stakeholders and guests

  • Process cancellations and/or rescheduled meetings/bookings and notify requestor and support teams and all associated support teams

  • Coordinate ordering of supplies with outside vendors, and uphold all aesthetic standards of the J&J Institute environment

  • Provide administrative support to create name badges, tent card and other meeting supplies upon request and work with security to coordinate badges ahead of arrival times

  • Process work requests, catering orders and weekly event reports for all resource functions in support of events, host huddle meetings with support teams t align on objectives for the upcoming week

  • Assist in the collecting and maintaining of data and metrics for all J&J Institute events and logistics to support the mission of Global Education Solutions

  • Work Environment: Office, surgical simulation laboratory, meeting rooms


  • High School degree is required, Bachelor's degree is preferred

  • Minimum of two years of experience working in a business or hospitality environment is required, preferably with scheduling system experience

  • Must be Customer service oriented

  • Attention to detail; Strong organizational skills, verbal and written communication skills, patience, and the ability to work in a team environment

  • Strong time management and prioritization skills required

  • Experience with coordinating multiple projects at once and working with all levels of associates to ensure their needs are met

  • Proficient with Microsoft office and Outlook required

  • Ability to photocopy, print, file, and compile necessary data entry

  • Ability to work evenings and weekends, when necessary
