Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • Demonstrate strong interpersonal, oral, and written communication skills.

  • Demonstration of discretion and confidentiality in handling both daily work and sensitive issues and information.

  • Demonstrated proficiency in managing multiple projects in an office setting.

  • Experience in record keeping and file management.

  • Demonstrated proficiency in using Microsoft Excel, Word, Outlook and other components of Microsoft Office Suite.

  • High school diploma or GED .

  • Knowledge of SAP for accounting and university budget processes.

Preferred Qualifications

  • Experience with Texas State University software and programs ( SAP , People Admin, Adobe Sign, Teams.) Experience in accounting principles, TXST budgeting and payroll processes.

  • Experience with documentation of Procurement Cards, daily expenditures, and reconciliation of budget(s).

Job Description

Responsible for monitoring and administering budgets at the department/office level. Responsible for providing budget change data entry, technical advice and support to department/office account managers.

Job Duties

  • Post CDC charges in parent account and communicates with families regarding account balances.

  • Post electronic payments to parent accounts.

  • Track expenditures and maintain, record, and monitor departmental budget transactions.

  • Track work study student funding balances.

  • Process vendor payments, create POs, submits deposits at SBS

  • Assist the Director with M&O and grant budgets.

  • Reconcile CDC , Marketplace and SAP accounts for accuracy and monthly reconciliations.

  • Resolves budget, posting, and vendor issues.

  • Assist in compiling statistical data and developing monthly reconciliation of all relevant CDC accounts. Assist with disbursement of funds as directed.

  • Assist with internal and external grant management.

  • Support CDC administration in processing orders and budget transfers.

  • Give instructions to departments on budget development. Establish rules, procedures, and/or standards.

  • Design and prepare spreadsheets to compile data as needed.

  • Tracks lab student documentation and communicates with faculty as needed.

  • Perform other duties as assigned.
