  • Experience in Accounts Payable, reconciliations, or other accounting functions.

  • Strong analytical skills: ability to visualize, articulate, solve problems and concepts, and make sound decisions based on available information.

  • Ability to clearly and effectively communicate with management and customers, including policies and procedures (both verbal and written) and resolving customer issues.

  • Experience with Microsoft Office suite applications; emphasis in Outlook.

  • Ability to work independently and multi-task several duties in tandem.

Preferred Qualifications

  • One or more years of experience within an Accounts Payable environment.

  • Experience using an ERP system.

  • Experience using a document imaging system.

Job Description

The Accounts Payable Coordinator is responsible for the initial workflow of transactions received in the Accounts Payable Office. This involves ensuring paper documents, incoming invoices, and email correspondence are properly scanned and indexed into the electronic system for routing through the payable process. The position is also the front-line resource for vendor and campus staff payable inquiries. This includes handling incoming telephone calls and emails as well as vendor statement research and reconciliations and petty cash replenishment requests and reconciliations. The position will also assist with other payable functions such as invoice entry into the ERP and ad hoc reporting. The position is also responsible for the hiring, training, scheduling, and evaluating of student workers and requires independent work with minimal supervision.

Job Duties

The Accounts Payable Coordinator performs a wide variety of functions within the Accounts Payable Office to meet the day-to-day operational requirements. This includes, but is not limited to, coordinating the workflow of the incoming payment requests (both paper and electronic formats), ensuring accuracy of payment scanning and indexing, managing the Accounts Payable help desk phone number and email box by providing exemplary customer service to vendor and campus staff on payable questions/issues, assisting periodically with researching and reconciling vendor statements with payable history, completing petty cash replenishment requests and reconciliations, drafting correspondence based on research results, assisting with the invoice entry workload within Accounts Payable, and assisting with ad hoc reporting of Accounts Payable results and SAP ( ERP ) data.

This position also interacts with internal and external customers in a courteous and professional manner. It requires adjusting to workload changes and working under pressure to meet deadlines, as well as the ability to work evenings and weekends during peak times, i.e. prior to holidays, fiscal year end transition, project implementation, and financial report preparation.
