Job Description Summary

The National Training Administrator provide critical operational and logistical training support for the North American (NA) Life Sciences (LS) Technical Services Organization. Reporting to the National Training Manager, this individual will play a pivotal role to support the planning and coordination of onboarding and training activities for all associates within the NA Technical Services Organization, including NSS, FSE, Remote Support, and IDS Applications teams. Training occurs at four Training Centers across the US, located in San Jose, CA, Sparks, MD, Vernon Hills, IL, and Mebane, NC. This individual would ideally be based in San Jose, CA or Sparks, MD, where most of our training activities occur.

The National Training Administrator will be responsible for executing assignments that are moderately complex in nature, where considerable judgement and initiative are required for resolving problems and making recommendations. This self-motivated individual will receive little instruction on daily work and be expected to drive or contribute to new initiatives and projects that positively impact training.

The National Training Administrator will contribute significantly to the success of the NA Training Organization. This individual will also help establish or support efficient business processes, tools, and reports to ensure business objectives are met. May lead or participate in projects related to business processes improvements, striving to maintain highest-levels of internal customer satisfaction, and eliminating waste to improve training-related variable cost expenses.

Duties and Responsibilities

  • Supports the NA Technical Service new-hire onboarding process and assists with the initial new hire set-up and administrative activities. Works closely with Department Learning Administrative (DLA) and IT Systems Support teams to ensure associates receive the tools and systems access required for their job function.

  • Maintains the Training Matrix for all associates within the Learning Management System (LMS) and ServiceMax (SMX) systems, ensuring alignment with Quality and functional management teams. Work with internal Systems Support teams to ensure data integrity in the ServiceMax environment.

  • Develops and maintains the organization’s training schedule, virtually via training needs tracking tools and LMS and working with cross-functional teams to ensure training commitments met. These teams include facilities, EH&S, Security, Global Training teams, subject-matter trainers, management teams and technical associates (students).

  • Ensures training labs are maintained and stocked for classes, across all four training facilities. Works with functional teams to verify instruments are functioning prior to class, and responsible for ordering and cataloging training supplies. Maintains inventory for calibrated tools and test equipment.

  • Ensures appropriate facility usage and security of training instruments and tools. Coordinates facilities improvement, installation projects, and instrument moves with respective stakeholders.

  • Serves as safety officer for the Technical Service Training team, ensures emergency response activities can be performed efficiently.

  • Ensures Quality Training Compliance Records are maintained.

  • Maintains student survey responses and works with management to drive future improvements based on feedback received.

  • May be required to receive Train-the-Trainer instruction to be able to deliver non-technical training courses for associates, as determined by management.

  • Prepares documents containing financial/statistical data or scientific, technical, or legal terminology. Enters and manipulates data on spreadsheets, data bases, and/or file management programs.

  • Support National Training Manager to prepare reports and analytics.

  • May support travel arrangements and reservations for field-based service associates, visitors and/or prospective candidates as related to training activities.

  • Maintains Service operation’s electronic distribution lists, and organizational charts. Reviews and distributes organization wide announcements as necessary.

  • Responsible for compliance with Company Environmental, Health and Safety (EH&S) policies and procedures in immediate work area and all training venues. Participation in EH&S programs. Notifies supervisor of all observed hazardous conditions or unsafe work practices and may provide recommendations for improvements.

  • Operates WIN or IOS Operating system based PC Workstations, using the Microsoft Office Suite of applications, regularly to create and maintain electronic documents using a variety of standard business applications and web-based tools. (I.e., MS Office, SAP, ServiceMax, MS SharePoint, Adobe Acrobat, Excel, PowerPoint, Smartsheet, Visio etc.)

  • Project planning, coordination, and support of on/off-site meetings.

  • Performs other related duties and assignments as required.

Knowledge and Skills

  • Proficient utilizing MS Office applications (Outlook, Word, Excel, Visio, PowerPoint).

  • Proficient in grammar, spelling, punctuation, and math skills.

  • Ability to maintain confidentiality of written and verbal information.

  • Demonstrated ability to maintain files and records accurately.

  • Effective interpersonal skills, written and verbal communication skills.

  • Demonstrated ability to deal with unresolved situations, frequent changes, delays, or unexpected events.

  • Effective decision making and problem-solving skills.

  • Ability to multi-task effectively.

  • Demonstrated ability to follow established policies and procedures.

Education and Experience

  • High School Graduation or Equivalent required. Associate or Bachelor’s degree in IT systems, computer science, or life sciences preferred.

  • 2+ years of experience with training coordination and working with LMS systems.

  • 2+ years of experience in an administrative role, or related role.

  • 3+ years of experience using MS Office applications (Outlook, Word, Excel, Visio, PowerPoint).

  • Experience with statistical analysis tools (Tableau, Minitab, PowerBI) desired.

  • 2+ years ERP/CRM system software experience preferred (i.e. SalesForce, SAP, ServiceMax, Oracle, etc.)

  • Experience working in highly regulated e-learning programs, systems administration, or technical support fields.

Work Environment:

  • While performing the duties of this job, the employee regularly works in an office setting with routine exposure to laboratory and warehouse environments.

  • Travel to other training locations as needed quarterly. Travel requirements are less than 20%.

$78,000.00 - $128,700.00 USD Annual
