State of Utah - Jobs Purchasing Agent II - Facilities Contrac in SALT LAKE CITY, Utah
The Division of Facilities Construction and Management is seeking a new Contract Coordinator to assist with the administrative functions of managing purchase orders and contracts within the State s finance system, as well as supporting contract management support for state agencies.
As the DFCM Facilities Contract Coordinator, you will:
- Prepare, publicly post, and manage throughout the solicitation process, building and service specific procurements for elevator maintenance, grounds maintenance, janitorial, refuse, and snow removal services.
- Evaluate bids and other solicitation responses to ensure Contractor compliance with the stated requirements.
- Schedule, coordinate, and facilitate value-based selections for select service contracts.
- Prepare, distribute for signature, process, and file DFCM service contracts.
- Prepare, distribute for signature, process, and file DFCM service contract change orders.
- Prepare, distribute for signature, and file Operating and Maintenance agreements with State agencies.
- Manage the DFCM prequalification process for janitorial contractors, including posting new opportunities and following up on contractor prequalification status renewals.
- Monitor contract expirations to plan in advance for solicitation needs, ensuring there is no lapse in service.
- Maintain open and frequent communication with multiple facility complex staff to ensure service contract needs are being met.
- Issue purchase orders and process invoices.
- Proactively collaborate and maintain open communication with the DFCM Construction Project Management Assistants team to ensure solicitation and contract processes are aligned and consistent.
- Maintain process and policy documents for the tasks associated with this position, reviewing and updating them regularly.

- Tier 2 Defined Contribution Plan. Employer contributes an amount equal to 10% of your salary to a 401(k) plan only.
- Employer contributions to your 401(k) are vested after four years.

- Annual leave and sick leave are accrued at 4 hours per pay period each (4 hours annual, 4 hours sick).
