Job Summary

The Procurement Specialist at Huntsman Cancer Institute ( HCI ) is a valued team-member of the HCI Finance team. Reporting to the HCI Purchasing Manager, this position is responsible for most purchases made with a University Purchasing Card (Pcard) at HCI and will also have supplemental duties facilitating purchases through various other University procurement systems (UShop, ePR, etc.). Responsible for courier duties to deliver documents to main campus departments as well as clerical duties including scanning documents. This position may also be asked to cover the HCI Loading Dock on an as needed basis. This position will service a large and diverse population of faculty and staff researchers at HCI . Attention to detail, outstanding customer service, creative thinking and effective troubleshooting skills are essential to success.

Responsibilities

Essential Functions

  1. Serve as the primary Pcard holder at HCI . Purchase a variety of supplies, services, professional development, and other items. Coordinate critical purchase details with a wide variety of HCI team members. Answer questions from requestors related to proper procurement methods and procedures.

  2. Work closely with HCI Finance team as well as HCI Research Admin team members to process Pcard payment requests and help provide information to HCI Reallocator for Pcard purchase reallocation and reconciliation.

  3. Maintain accurate and complete records in accordance with university, funding source, and departmental policies. Prepare Pcard records and necessary backup documentation for monthly review and the annual Pcard audit.

  4. Help make purchases for faculty research and department activities using alternate University procurement methods such as UShop and Electronic Payment Request (ePR).

  5. Reviews and processes routine purchase requisitions for goods and services submitted by shoppers in UShop. Ensures compliance with purchasing procedures, state procurement codes and user requirements.

  6. Ensure business continuity by covering the Loading Dock on an as needed basis, processing incoming and outgoing deliveries.

  7. Responsible for courier duties to deliver documents to main campus departments as well as clerical duties including scanning documents.

  8. The Procurement Specialist at Huntsman Cancer Institute ( HCI ) is the primary backup for the HCI Purchasing Manager.

The Assistant Buyer is distinguished from the Buyers in that this position does not regularly perform specialized or complex-purchasing transactions that require the development of detailed specifications.

Problem Solving

This position acts as a liaison between requesting departments, University Purchasing, and vendors to ensure that information is shared appropriately, and orders are placed on time. If shipments do not arrive on time, are filled incorrectly, or become damaged during shipment the incumbent will research the problem and work with the vendor and the receiving dock to resolve any discrepancies.

Minimum Qualifications

Three years experience in a procurement environment or related field or equivalency (one year of education can be substituted for two years of related work experience) required. Superior organizational and problem solving skills as well as a strong working knowledge of spreadsheets and word processing are required. Demonstrated human relation and effective communication skills also required.

This position is not responsible for providing patient care.
