Description

Duties & Responsibilities:

  • Ensure that purchases meet budget, timeliness, quality, and quantity requirements.

  • Research and identify potential suppliers of needed parts/equipment.

  • Develop relationships of trust with suppliers to secure best prices, availability, and responsiveness to company needs for parts, supplies, and equipment.

  • Monitor and update relevant departments regarding price fluctuations of goods, vendor pricing and product availability (e.g. backorders).

  • Be ready always to report on the status, lead times, location, and cost of needed parts and equipment, as they flow through various processes. Attend weekly meetings to report.

  • Diligently, promptly, and accurately enter needed information in to project management software (e.g. Procore), including photos, drawings, models, spec-sheets, submittals, etc.

  • Promptly return approved submittals to vendors and collect needed order and ready-to-ship dates. Monitor closely to ensure dates do not slip.

  • Issue purchase orders (POs) for needed parts and equipment that meet quantity, quality, cost and deadline requirements of project and follow company policies.

  • Ensure returns are processed promptly to capture appropriate refunds and credits.

  • Schedule drivers for pickups, deliveries, and hauling debris from jobsites. Must ensure transport have adequate detail to plan the loading/unloading, and transport safely.

  • Track and maintain inventory at optimal levels, including working with project management to develop “kits” to reduce waste and inefficiencies for installers, use QR codes for jobsite material labeling and drawings, and maximize cost savings.

  • Work with site superintendents, service department, and other team members to ensure jobsite equipment is well maintained and available when needed.

  • Be responsible for all plant labeling including component tags, pipe labels, some wire labels, arc flash labels etc. Maintain necessary documentation (e.g. spreadsheets) for such labels.

  • Ensure adequate documentation is collected and maintained in an organized manner (O&M manuals, calibration certificates, spec sheets, etc.). Ensure equipment that need calibration are scheduled for calibration in time for needed install and appropriate certificates obtained.

  • Drive continuous improvement and project efficiencies through various means including, but not limited to, creating standard operating procedures (SOPs), templates, and regularly communicating with team members.

  • Develop and report on key performance indicators (KPIs) to measure success of procurement function and impacts on project budget and timelines.

  • Expected use/implementation of SMART goals and individual learning, training, and development plans each year.

  • Contribute to company’s industry-leading safety culture and track record through various activities including daily use of TRACK cards, periodic safety audits, creation of safety training materials, and so forth.

  • Performs other duties as assigned.

  • Will interact frequently with internal staff, and external suppliers, contractors, and customers, and must always represent the company well.

Required Qualifications:

  • Unwavering commitment to safety and track record following safe work practices.

  • High school diploma; Some college/technical vocational training or equivalent experience; competency with math and finance.

  • Computer skill---including MS Office, especially MS Excel, and ability to learn and use web-based project management software (e.g. Procore)

  • 3-5 years’ experience in procurement or warehouse/inventory management role

  • Familiarity with construction drawings, piping and instrumentation diagrams (P&IDs), submittals, product data sheets, spec sheets, material takeoffs and so forth. Must be able to work with project management to identify and correct any inconsistencies or errors affecting needed parts/supplies.

  • Familiarity with building materials.

  • Strong negotiator and problem solver—must be fearless at speaking up, working with suppliers to improve pricing or availability or to find alternative solutions.

  • Must have attention to detail---and possess the ability and willingness to inspect parts and supplies meet quality expectations of the company.

  • Superb organizational skill—with the ability to manage schedules and ensure critical path parts and materials are ordered/delivered on time, as well as within budget.

  • Process-oriented, operational expertise and passion to find and fix bottlenecks; to evaluate trends and systematize that learning to drive continuous improvement.

  • Excellent communication skill---especially writing, including:

  • the ability and willingness to respond promptly and be proactive to solve problems.

  • the ability and willingness to listen, ask follow-up questions, and confirm the accuracy and completeness of orders and schedules.

  • The ability and willingness to detect early any delays or problems

  • the discipline to ensure thorough, timely and clear documentation is created, maintained, and shared appropriately.

  • The ability to always be ready to report on the status, location, and cost of needed parts and equipment, as they flow through various processes.

  • Team builder – people need to respect you and like to work with you; ensure suppliers, subcontractors, and other 3 rd parties are adhering to company standards and expectations.

  • Ability to lift 50 lbs.

  • Ability / certification to drive (or be willing to trained/certified to drive) a forklift

Preferred Qualifications:

  • Bachelor’s degree in construction management or related technical field.

  • Experience in project management.

  • Experience in building construction and electric power industries.

  • Experience managing or working with electrical/mechanical contractors, civil/geotechnical/electrical/mechanical engineers, city/county/state departments over building permits and inspections, parts and equipment suppliers, and other service providers.

  • Experience and certification with project management software---especially Procore, Microsoft Project or equivalent, spreadsheets (including MS Excel and Smartsheet), and trending software (Skyspark or equivalent)

  • Technical knowledge or experience with generators, diesel/natural gas engines, radiators, swamp coolers, emissions-control equipment, HVAC systems, controls, software programming.
