Hamline University Systems Administrator and Integration Lead in Saint Paul, Minnesota

JOB SUMMARY

The Systems Administrator and Integration Lead (SAIL) is responsible for administering enterprise-level software applications. The position also develops and maintains efficient and high-quality integrations that connect data and applications required for business processes and customer needs. This position ensures that the university’s various mission essential enterprise systems are functioning optimally and securely.

More broadly, this position contributes to development and deployment of solutions to meet the requirements for successful digital transformation of the university’s activities and operations. To craft these solutions, the SAILEA collaborates with a wide variety of employees representing all core university offices and administrative units.

The SAIL is one of five positions within the ITS Enterprise Applications and Development (EAD) group. This group is responsible for acquiring, aligning, customizing, and administering software applications for critical business requirements, whether they reside on a variety of platforms across the university’s network or in the cloud. These applications are often large, complex, multi-user services that encode business policies, processes, and rules. They require sophisticated logic and manipulate large chunks of data. Examples of key systems include the university’s Enterprise Resource Planning (ERP) systems, Identity Management systems, web content management system (CMS), and learning management system (LMS) and Collaboration Platforms. This role routinely requires manipulating considerable amounts of confidential information.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ERP/Workday :

Oversees daily administration of Workday Enterprise Resource Planning (ERP) system, associated ERP applications, and other enterprise level applications (e.g., Cashnet). Coordinates and implements software upgrades, patches, and updates.

Monitors, assesses, and reviews systems and procedures. Configures and manages core application components, including reporting, analytics, workflow, forms, communications, and templates. Tests quality control processes and recommends solutions or alternate methods to meet requirements. Monitors integrations within the university's managed applications environment of both internal and external systems.

System Integration:

Establishes an integration strategy and infrastructure that is effective and supportable within the financial and human resource constraints available. Establishes technology change control standards and protocols.

Gathers and analyzes business and customer requirements to identify and prioritize opportunities to improve efficiencies and processes through integration. Designs and implements integration flows and enhancements, including APIs and/or file-based integrations.

Partners with development and design teams to support and provide oversight in designing and developing integration solutions and prototypes. Partners with others to design and develop integrations for the university’s ERP system (Workday) , utilizing a variety of integration tools sets and public API solutions. Directly supports ERP work teams.

Determines, conducts, and automates integration tests, load tests, and performance tests, including facilitating set-up of test data and accounts.

Prepares and manages technical documentation and self-service resources on integrations.

Proactively monitors integration performance and troubleshoots, resolves, and reports integration issues to impacted teams and stakeholders. Adheres to established development and integration processes, best practices, and standards.

Collects user and stakeholder feedback to guide the development of new products and integration enhancements. Promotes a collaborative team environment and work closely with colleagues and stakeholders to achieve goals.

Account Management :

Performs account Identity management (IDM) and group maintenance for enterprise systems. Coordinates resolution of duplicate accounts and related tasks, issues, and problems. Monitors, assesses, and reviews security across enterprise applications.

Custom Development :

Develops software applications that support university initiatives. Utilizes technologies associated with existing and future system platforms, including Drupal/Acquia, Workday, Google app script and other Google technologies, ServiceNow, and Docfinity.

Technology Evaluation, Consultation, and Support :

Serves as a consulting partner with key constituents (generally staff in university administrative offices and senior administrators) to support enterprise applications and integrations and to drive ongoing technological innovation. Provides design recommendations, documentation, training, and resources for these key constituents. Participates in vendor and tool selection to meet business needs and support team workflows.

Assists with collecting data, completing surveys, and crafting reports for benchmarking and program evaluation. Analyzes operations and user satisfaction data to continually improve service. Maintains relevant statistics and prepares reports as necessary.

Serves on policy and planning committees as appropriate. Ensures compliance with relevant policies, practices, and procedures.

Additional Responsibilities :

  • Serves as backup for other EAD team members on system administration, development, and integration efforts.

  • Participates in ITS workgroups and project teams.

  • Works on special projects.

  • Performs other duties as requested.

REPORTING RELATIONSHIPS

The SAIL reports to and is evaluated by the ITS Director of Enterprise Application Development (EAD). Much of the work is done independently with limited direct supervision.

In addition, particularly close cooperation is required with other ITS employees, as well as with employees of offices, units, and departments across the university.

BUDGET MANAGEMENT RESPONSIBILITIES

Budget Range: This position is not responsible for the management of a budget.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND KEY COMPETENCIES

Required Technical Experience and Skills :

  • Expertise in the functional and technical aspects of the Workday ERP, including the administration of Security, Business Processes and Reporting

  • Professional experience developing and administering Workday integrations, including Workday Studio and transformations

  • Expertise in Workday integration tools including Web Services, API, Studio, Reporting, Transformation

  • Proficiency with integration design and development processes (e.g. development, testing, debugging) including demonstrable experience in data integration and workflow scripting

  • Expertise in at least one of the following relevant coding languages core languages: VB, C#, Perl, C++, Scala, Python, SQL

  • Expertise in core web technologies including JavaScript, CSS, HTML, .NET, Php, Java, XML

  • Experience with system integration technologies (e.g. RESTful APIs, OAUTH 2.0, event brokers, data virtualization)

  • Expertise in data management and workflow

  • Proficiency in account management across multiple platforms

  • Proficiency with personal productivity IT tools used in a typical academic environment, including virtual collaboration tools (e.g., Google Workplace)

Preferred Experience and Skills :

  • Familiarity with concepts, principles, issues, emerging technologies, and challenges associated with supporting both the business and academic operations of a university community

  • Familiarity with creating a full student lifecycle environment that increasingly relies on digital interactions and experiences

  • Project management experience or aptitude

  • Proficiency with personal productivity IT tools used in a typical academic environment, including virtual collaboration tools (e.g., Google Workplace)

MINIMUM EDUCATION/EXPERIENCE

  • Bachelor’s degree from an accredited college or university in a field associated with CIS, MIS or related fields, or possession of a combination of industry certifications and experience

  • Professional experience supporting and administering Workday integrations

WORKING CONDITIONS / EQUIPMENT

  • Requires computer use for significant periods of time.

  • Requires ability to administer aspects of the university’s web site and supported technologies remotely.

  • Requires working occasionally outside of standard Monday-Friday 8:00-5:00 working hours, including the need to work during ITS maintenance windows.

  • Work from home (WFH) is authorized by arrangement with supervisor.

  • Must be fully vaccinated for COVID-19 or eligible for legally required exemption such as a medical or religious reason.

ADDITIONAL INFORMATION

This is a full time, 1.0 FTE, exempt position, 12 months a year.

The SAIL requires daily contact with a variety of university employees, primarily staff but occasionally faculty. This position also requires interaction with vendors and representatives from other collaborative networks, user groups, consortia, and agencies.
