Position: Commercial Assistant

Location: Rome, Italy

Type: Full-Time

Travel percentage: 10%

The Job's Mission:

As a Commercial Assistant, you'll play a pivotal role in supporting our Instruments team with a wide range of commercial and marketing/market development activities. Your organizational skills and proactive approach will ensure seamless operations and effective communication within the division.

Key Activities & Accountabilities:

Timetable & Communication Management:

  • Coordinate meetings and manage data in Outlook.

  • Organize divisional events, including booking rooms, catering, and logistics.

  • Communicate with providers to facilitate commercial and marketing activities.

  • Update mailing lists, OneNote, divisional highlights, and meeting minutes.

  • Manage promotional materials like USBs, brochures, and product catalogues.

Travel Coordination:

  • Arrange business trips, including flights, transfers, and accommodations, following cost guidelines and submit related expense reports

Data Collection & Reporting:

  • Plan and execute internal events like monthly Leadership Team Meetings/Calls.

  • Assist in organizing internal educational activities.

  • Provide commercial activity analysis and consolidate data from multiple sources.

  • Prepare advanced Excel sheets and manage data collection.

  • Set up and manage PowerBi and analytics tools, creating reports and dashboards.

Project Management:

  • Independently manage various projects as agreed with the BUD.

  • Support internal conferences and coordinate external agreements with third parties.

  • Prepare and archive budget letters and other communications.

  • Handle bureaucratic tasks as requested by the division.

  • Promote compliance and ethical behavior within the company.

  • Uphold Quality Culture and ensure adherence to company procedures, particularly Dl.lgs 81/2008.

Competencies:

  • Fluency in Italian and English

  • Spanish is desirable but not essential.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office package (particularly PowerPoint and Excel)

  • Strong interpersonal skills.

  • Ability to multitask and handle multiple priorities.

  • Problem-solving abilities.

  • Attention to detail and accuracy.

  • Proficiency in data collection and organization.
