DEPARTMENT OF ELEMENTARY & SECONDARY EDUCATION Substitute Secretary in ROLLA, Missouri
Primary duties are typing, filing, record keeping, answering telephone and meeting the public.
ESSENTIAL FUNCTIONS:
The incumbent must have the ability to perform the essential functions below either with or without reasonable accommodations.
- Type 45 wpm without error with computer competency in Microsoft Office (Word, Access and Outlook).
- Maintain moderately complex databases in order to provide service and accurate information for management.
- Review work of staff in order to ensure work product meets established standards.
- Assist staff with completing forms in order to provide service.
- Compile and maintain lists and records.
- Complete expense and/or other financial forms in order to process reimbursement or payment request.
- File and copy correspondence and other records maintaining an organized filing system.
- Open, sort, process and distribute mail.
- Answer telephone, take messages and route calls efficiently.
- Greet and welcome visitors, determine nature of business and conduct visitors to appropriate person.
- Order and inventory supplies.
- Follow assigned daily work schedule.
- Accurately complete required reports on or before established deadlines.
- Communicate clearly and appropriately with public, coworkers, parents, etc.
- Communicate effectively in written form, using correct grammar, punctuation, clarity and consistency of thought.
- Maintain confidentiality of parent, student and staff personally identifiable information.
ADDITIONAL RESPONSIBILITIES:
- Participate in staff development activities as necessary to keep secretarial skills updated.
- Demonstrate effective problem solving skills.
- Maintain an orderly, safe, clean, attractive work environment.
- Maintain CPR certification at the level determined by the American Heart Association or Red Cross as Basic Life Support for Health Care Providers.
- Lift and move 50 pounds.
- Utilize each student's individual communication system.
- Infrequent travel for training and staff meetings.
- Perform other duties as assigned.
EDUCATION REQUIRED/PREFERRED:
- High School diploma or G.E.D.
- All applicants must be tested in typing proficiency.
- Supplemental secretarial practice, bookkeeping and computer application courses preferred.
- Secretary I entry level.
- Secretary II minimum of two years as a Secretary I; or two years experience successfully performing tasks comparable to the Secretary I classification.
