The Client Access Representative is responsible for managing the overall client scheduling process, payment collection, and maintaining up-to-date client records. This position serves as the initial point of contact, ensuring a warm and professional welcome to our facility.

The Client Access Representative position offers…

  • Employee Assistance Program – 24/7 counseling services, legal assistance, & financial consultation for you and your household at no cost

Key Responsibilities:

  • Greet and register clients, verify personal information, insurance details, and collect co-payments.

  • Schedule appointments, manage clinician calendars, and verify client benefits and eligibility.

  • Handle appointment changes, cancellations, and no-shows according to established processes.

  • Collaborate with clients, families, and staff to resolve any issues during client visits.

  • Ensure completeness of client health records and prepare necessary documentation.

  • Manage cash transactions, balance daily records, and issue receipts.

  • Coordinate client referrals and effectively utilize the Electronic Medical Records system.

  • Answer phone calls, provide information, and direct inquiries to appropriate personnel.

  • Maintain a welcoming and tidy reception area.

  • Participate in service monitoring and quality improvement initiatives.

  • Demonstrate excellent guest relations skills in all interactions.

  • Perform additional duties as assigned by leadership.

Education and/or Experience Qualifications:

  • High school diploma or GED required.

  • Previous customer service experience preferred.

Additional Qualifications:

  • Successful completion of background checks, including criminal record, driving record, and abuse/neglect.

  • Reliable transportation and valid driver's license with appropriate insurance coverage.

  • Completion of New Hire Orientation and Relias Learning training at the beginning of employment and annually thereafter.
