Lab Specimen Processor Coordinator

Full Time - 1st Shift

Rock Island, IL

The Coordinator Specimen Processing is responsible for the designated laboratory function involving laboratory specimen receipt and appropriate specimen handling and processing in preparation for testing or transport to appropriate reference laboratory. The coordinator works at resolving specimen issues. Ensures that procedures are followed for laboratory specimen integrity and patient safety.

Technical Support

Perform Specimen Processing for Clinical Laboratory specimens, including but not limited to blood, culture specimens

Collaborates with managers and leads and other as needed to accomplish efficient workflow.

Liaison between hospital departments, hospital staff, clinical staff, laboratory staff (technical and support) and specimen processing.

Assesses daily work of Specimen Processing staff at all 3 sites including off shifts to ensure all specimens are appropriately routed and handled.

Assures appropriate staffing coverage – rotating staff and filling in as needed.

Assures appropriate tube system response and timely handling of all specimens

Assures appropriate and timely phone response and etiquette.

Monitors processes at various sites for standardization of procedures, protocols and training.

Complete items in various work queues – SunQuest/EPIC/Reference Lab

Monitors and improve turnaround times for STATs

Inventory/Supply Coordination

Monitor volumes of specimens sent out to various reference lab sites

Monitor supply inventories of onsite laboratories and supplies ordered directly from reference labs

Adjusts Specimen Processing inventories as appropriate.

Organizes and designs the layout and labeling of shelving, bin and products in inventory and par locations taking into consideration the needs of customers and distribution team members.

Consistently monitors and processes return of stock items to avoid overstocking in inventory.

Maintains updated list of clinically accepted substitute products and works directly with central procurement to obtain supplies.

Works closely with department personnel and distribution techs to ensure supplies are rotated in inventory and par carts and outdated timely.

Troubleshooting/Investigation

Investigation of problem specimens and specimens with errors for all Trinity sites and reference labs

Troubleshooting for UPH Trinity Laboratories, UPH Peoria Methodist, MAYO, State of Illinois, SHL and other laboratories regarding referenced specimens

Oversees work report and error queues and troubleshoots to solve issues when appropriate.

Assist Technical and Support Departments with specimen processing issues.

Gives input and executes system standardization initiatives including supply and equipment conversion in collaboration with Lab/Pathology CSG and General Laboratory

Keeps current with changes and additions to reference lab test menus

Initializes training and re-training when indicated by employee input or error investigation

Works closed with Laboratory Logistics Coordinator, Manager of Support Services and Laboratory Managers on the investigation of rLSolutions – suggesting and building training/retraining as necessary.

Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.

Education:

High School Graduate or GED Equivalent

Associates Degree/Bachelor Degree in related field or direct and applicable work experience

Experience:

3-5 years of Laboratory specimen processing

5 Years Laboratory specimen processing

License(s)/Certification(s):

Valid driver’s license when driving any vehicle for work-related reasons.
