Senior Staff Assistant

Job Responsibilities:

Provides administrative support to the AST and Physics graduate programs

  • Maintain accurate and up-to-date AST student and program records, both electronic (and paper-based, as appropriate); track program graduates; check degree certifications

  • Assist graduate students with course registration, thesis/dissertation defenses and submission

  • Provide graduate admissions support to AST program director and admission committee, including distribution of applications via SLATE, compiling admission data into a spreadsheet; arranging accepted student visits. Admitting/deny/waitlist in SLATE program and move to Graduate enrollmentPrepare AST recruitment emails, posters, letters and mailings.

  • Compile data for AST program metrics, reports, and program assessment

  • Complete Graduate Teaching Assistant paperwork and process Research Assistant stipends via Oracle by coordinating with faculty and graduate students.

  • Work with Academic Affairs and students on the PhD Hooding ceremony and other commencement related efforts.

Coordinates events for the AST and Physics programs

  • Arrange travel for AST faculty, AST and Physics graduate students, and visiting speakers

  • Organize AST program events and meetings.Assist with preparation, refreshments, and staffing of special School events

  • Design and update electronic and paper-based advertising for weekly Physics & AST colloquia/seminars and School informational posters

  • Put advertising for School, Dean’s office and IE on electronic displays

Provide accounting and budget support for AST

  • Administer and reconcile AST procurement credit card Review the AST monthly budget reports for accuracy.

  • Process expense reimbursements, invoice payments and order requests for AST. Process for Physics program when senior staff specialist is unavailable.

  • Assist faculty and staff with submission of travel expense reports through the oracle travel reimbursement system.

  • Assist students with paper-based travel expense reports.

Maintain and update appearance and information for AST and School websites

  • Serve as liaison to COS marketing to ensure SoPA website is updated and accurate.

  • Work with AST faculty, staff and students to maintain AST webpages. Implements other updates as requested.

Other support to the Physics and AST programs

  • Work with senior staff specialist to make sure SoPA events are appropriately coordinatedAssembling requested sections for SoPA annual report

  • Coverage for SoPA office when senior staff specialist is unavailable

Job Summary:

This position provides administrative and event support for the Astrophysical Sciences & Technology and Physics graduate programs, as well as the Physics undergraduate program within the RIT School of Physics and Astronomy. Work closely with members of the School’s administrative team, as well as staff in other programs at RIT, in support of faculty and students.
