Job Responsibilities:

  • Provide administrative support to the department Director, attending to a wide range of administrative details, day to day operations and clinical issues. Arranges appointments, meetings, conferences, etc. Provide back-up support and reception as necessary including receiving clients and facilitating check-in process.

  • In collaboration with the Associate Director of Wellness Finance and Operations, supports financial processes for CaPS, including procurement card management and reconciliation, financial report generation, purchasing, journal entry corrections, and budget management. Processes travel expense reports to ensure university resources are appropriately utilized and documentation adheres to current best practices. Maintains files per university records management practices.

  • Administers calendar management for professional staff and doctoral training program. Supports various CaPS activities by arranging rooms and hospitality, scheduling interpreting services, and other functions as appropriate. Calendaring includes reconciling two separate calendaring systems to ensure adequate information between systems and eliminate informational gaps. Ability to learn additional software systems as the need arises.

  • Supports human resource processes for CaPS. In collaboration with the Director and Associate Director of Wellness Finance and Operations, supports CaPS staff search processes utilizing online applicant tracking system, drafts and facilitates the processing of HR forms and provides guidance regarding university systems and administrative practices. Maintains files per university records management practices.

  • Supports general office management, including but not limited to: key coordination, telephone management, record retention coordinator, FMS liaison, office/capital equipment inventory and maintenance, mail and HUB liaison and interacting with other campus partners as necessary. Utilizes various record keeping modalities, including hardcopy and electronic systems management as appropriate.

  • Exercises judgment and independent initiative; handles time sensitive matters that require concise problem solving and a high degree of confidentiality.

  • Prepared to field inquiries from students about the range of services offered by CaPS and explains eligibility requirements, intake procedures, session limits, cancellation policies, and confidentiality laws. Facilitates the referral process for faculty, staff, administrators and parents who are assisting students in seeking services from CaPS.

  • Other duties as assigned.

Required Qualifications:

Education:

  • Associate's degree or equivalent experience: Business Administration or related field

Experience:

  • 2 years of progressively responsible administrative experience including developing and managing integrated administrative and communications activities and ability to work in a fast-paced, collaborative environment.

Skills:

  • Strength in customer service delivery and relationship management

  • Demonstrated experience working with highly sensitive and confidential information

  • Intermediate technological competence, computer mastery using database software (Access and Excel), other Microsoft Office Suite software.

  • Ability working with multiple enterprise software systems

  • Excellent written and verbal communications skills

  • Maturity and judgment, self-motivated/take initiative. Flexible; adapt well to change; manage risk and uncertainty with poise.

  • Possess ethical decision making skills, discretion, and sound judgment.

  • Proficiency in American Sign Language or willingness to learn

Preferred Qualifications:

  • Bachelor’s degree in business administration or related field

  • Five or more years overseeing high traffic, health-base front office operations

  • Experience in higher education workplace

  • Knowledge or experience with HIPAA and/or FERPA confidentiality practices

  • Prior experience with Oracle, SIS, Maxient, and PyraMed

Job Summary:

Reporting to the Director of Counseling and Psychological Services, the Senior Staff Assistant provides comprehensive administrative support for RIT’s Counseling and Psychological Services Center (CaPS). The Senior Staff Assistant oversees the day-to-day operation of the front desk and assists with the development and implementation of the unit’s various services and programs. The Senior Staff Assistant plays an integral role, along with other Wellness support staff, in supporting our programs and services to students and may be called upon to support other Wellness areas, as needed.
