University of Rochester Physician Support Spec in Rochester, New York

Responsibilities

Position Summary:

Working under the director of the Division Administrative Assistant, will support faculty/providers and other support staff within the division. Performs complex secretarial and administrative duties, in a fast-paced environment with minimal direction and considerable latitude for independent judgment, in support of the clinical, educational, and academic programs. Responsibilities include time and calendar management to ensure daily manageability, telephone triaging and management, and information/data support.

Specific Responsibilities:

  • With general direction and with latitude to exercise independent judgement within established policies:

  • Manages faculty calendars by functioning as primary contact. Independently makes decisions about priorities of meetings, appointments, etc. Effectively balances competing demands of faculty member’s time by managing calendar, including all clinical activity, administrative meetings research, education and academic commitments.

  • Manages faculty/provider documentation and information. Composes and types non-routine correspondence providing factual information. Transcribes letters of recommendation, proofreads, and ensures accuracy and timeliness of all written materials, including medical reports and correspondence, CVs, presentations and business correspondence.

  • Arranges travel, conference registration and hotel accommodations. Interfaces with organization, hospitals and others to facilitate invited lectures and speaking engagements for the faculty member.

  • Triages telephone calls and messages from patients and referring physicians to faculty, residents and nurse practitioners. Personally interfaces with callers to ensure needs are met, managing and/or resolving various scheduling/coordination issues and answering questions as needed. Manages all incoming mail for faculty and advance practice providers assuring that all correspondence receives timely attention and is followed up appropriately.

  • If applicable to division, processes all disability paperwork by gathering necessary information from multiple tabs within eRecord and completes documentation. Forwards to appropriate person/place.

Minimum Qualifications:

Associate’s degree plus a minimum of three years relevant experience; or equivalent combination of education and experienced required. Experience in medical office setting preferred. Flowcast, eRecords, and medical terminology preferred. Excellent customer service skills a must.
