Job Description Summary

Under the direction of the Associate Director, the Financial Aid Operations Specialist is primarily responsible for the financial aid records management, system data integration, and communication production. Primary administration of outside scholarships. Provides customer service to current and incoming students and families. Primary for verification of student records.

Salary Range: $19 – $21 per hour

Essential Functions

  • Provides customer services for current and incoming students and families.

  • Serves as primary on all inbound emails to the financial aid email account.

  • Respond to emails and forward as appropriate.

  • Serves as back up on inbound calls.

  • Determines if a situation needs to be escalated to an Assistant, Associate or Director of Financial Aid.

  • Processes outside scholarships of approximately 1 million.

  • Review financial aid offers to ensure the students are within the cost of education and revise financial aid offers as appropriate.

  • Return funds to donors if required.

  • Reconcile daily disbursements using the FATR report.

  • On a monthly basis, reconcile the information between Colleague and Powerfaids.

  • Manages the Federal verification process.

  • Reviews submitted IRS tax transcripts, Federal verification forms and the required supporting documentation.

  • Updates the FAFSA based on the review of documentation.

  • Revise financial aid offers based on review and notify students of changes.

  • Serve as primary point of contact for content management on the financial aid web pages.

  • This included oversight of updated information, checking for dead links, and collaborating with colleagues on new content.

  • Monitor scholarships that require on campus housing.

  • Revise financial aid offers as necessary and send notifications to students.

  • Manage the awarding, disbursement and reconciliation process for the Graduate Assistantship program and the Residence Assistance program.

  • Monitor the budgets for both programs.

    Required Education, Experience, Technology Applications and Skills

  • Bachelor degree and 1 year in financial aid or relevant experience

  • Customer service skills.

  • Must be detail oriented with problem solving skills.

  • The ability to work independently, prioritize work and multi-task.

  • Strong written and verbal communication skills.

    Preferred Education, Experience, Technology Applications and Skills

  • 2 + years financial aid experience.

  • Powerfaids experience a plus.

    Supervisory Responsibilities

  • May provide oversight for one or more student workers, including graduate assistants.
