Responsibilities:
GENERAL PURPOSE:
The Faculty Appointment Coordinator serves as the primary facilitator for the Department of Psychiatry faculty reappointment and promotions processes. The position is primarily responsible for the monitoring and coordination of all items relating to the reappointment and promotion process. The position additionally assists as needed with all faculty support office matters.
This position is expected to work on-site at the hospital and be readily available to faculty and leadership.
ESSENTIAL FUNCTIONS
Manages the monthly Faculty Appointment Committee Meeting in collaboration with the Associate Chair for Academic Affairs – includes scheduling, confirming quorum, preparation of the agenda, and compilation of minutes
Runs monthly review reports and performs outreach to department leaders and faculty members to secure the necessary items for the next action (reappointment/promotion) in a timely manner
Maintains faculty resource BOX file and prepares faculty re-appointment and promotion packets for review
Advises on potential next action in keeping with the SMD regulations of the faculty when needed and works with the Office of Academic Affairs to resolve discrepancies
Provides specialized faculty reports as needed – by discipline, by rank, by division, etc.
Serves as the primary support for Annual Faculty MyPath review dissemination and reporting as well as the issuing of Annual Faculty Salary Letters
Supports the Faculty Onboarding Facilitator at the beginning of each month with tasks related to newly onboarding faculty (securing badges, signature capture, benefits enrollment, etc.)
Provides back-up and support to the other members of the FSO and other duties as assigned
QUALIFICATIONS
Required:
Associate’s degree or equivalent combination of education and experience 3 years of relevant administrative experience
Experienced user of Outlook, Word, Excel, and Zoom Excellent verbal and written communication skills
Ability to multi-task and prioritize
Must work well both independently and as part of a team
Experience working on educational institution faculty appointments required
Knowledge of University policies (work orders, procurement, P2P system, faculty regulations, medical staff bylaws, etc.)
